POSITION INFO:
We are seeking a detail-oriented and organised Rental Administrator to join our property management team. The successful candidate will be responsible for managing residential lease agreements, coordinating rental collections, liaising with tenants and landlords, and supporting the overall rental administration process. This role requires strong administrative skills, accuracy, and the ability to work well under pressure.
Key Responsibilities:
Lease Administration:
- Prepare, update, and manage lease agreements and documentation
- Ensure all lease applications, renewals, terminations, and inspections are accurately processed
- Maintain digital and physical tenant files in compliance with legal and company standards
Tenant Liaison:
- Serve as the primary point of contact for tenant queries and complaints
- Coordinate maintenance requests and communicate with service providers
- Schedule and follow up on property inspections (incomings/outgoings)
Financial Administration:
- Generate monthly invoices for rental payments
- Monitor rental arrears and send reminders or notices to defaulting tenants
- Reconcile accounts and assist with deposit refunds and utility billing where applicable
- Liaise with accounts department to ensure accurate financial reporting
Landlord Liaison:
- Provide landlords with regular updates on their properties
- Ensure monthly statements and payments are correctly issued
- Address landlord concerns in a professional and timely manner
General Office Support:
- Support rental agents with administrative tasks and listings
- Update property management software with current tenant and property details
- Ensure all rental listings are current and accurately represented online
Requirements:
- Education: Matric (Grade 12) required; relevant property management or real estate qualification beneficial
- Experience: 2–3 years in a similar administrative role, preferably in a real estate or property rental environment
- Skills:
- Strong organisational and administrative skills
- Excellent verbal and written communication (English & Afrikaans preferred)
- Proficiency in Microsoft Office and property software (e.g. PayProp, RedRabbit, MDA, or similar)
- Ability to multitask and meet deadlines
- High attention to detail and accuracy
- Other:
- Valid driver’s license and own transport advantageous
- Ability to work under pressure and independently
