A Guiding Academy located in the Mpumalanga province.

Job Description

You will be responsible for the day-to-day logistics of a smooth of the Group Field College. This includes daily supervision of specific staff as well as support for the students.

KEY FOCUS AREAS:

  • Camp Management and Day-to-Day Operations.
  • Ensure that the day-to-day operations are running smoothly, including managing kitchen and housekeeping staff at the college.
  • Managing the menu according to student dietary requirements.
  • Ensure students are supplied with meals and tents are cleaned.
  • Monitor camp maintenance to ensure timeous response. Camp equipment should always be well maintained and properly stored.
  • Maintain a neat camp which is consistently neat and presentable.
  • Fulfil the HR duties for the kitchen, housekeeping and trainers, including management and accurate capturing of leave.
  • Complete all camp admin to ensure it is up to date and filed correctly.
  • Ensure that applicable invoices are sent to students and payments are followed up timeously.
  • Liaise with finance as required to monitor payments received, allocations are correct, and accurate reports are generated.
  • Accountable for monthly petty cash and credit card allocations with the applicable reporting.
  • Liaise with and support students at camp.
  • Ensuring the bookshop is well stocked with the relevant material.
  • Uniform: Student uniform is ordered well in advance & Staff uniform.

Student Recruitment

  • Assist with marketing for prospective students via various social media, traditional platforms, and career indabas.
  • Ensure required Visa & PrDP application forms are sent to prospect students timeously.
  • Assist with the kick-off arrangements prior to each intake.

Marketing

  • Assist with the website and social media activities as required.

FGASA Liaison

  • Ensure that theory exam details are organized well in time & then submitting the exam papers and assessments to FGASA ahead of deadlines.
  • Ensuring that workbooks are ordered well in advance.

Student Administration

  • Record relevant student information prior to the start of each course.
  • Ensure that each student’s portfolio of evidence is constantly updated and filed both online and offline, according to CATHSSETA requirements for training
  • Process and issue each student’s certificates and performance cards at the end of each intake.

Quality Assurance

  • Continuously strive towards being the number one Field Guide Training Institution.
  • Create safe, happy and fun learning and living environment for students and staff.

Qualifications

Grade 12 or equivalent (essential). FGASA Level 1 (advantageous), Qualification in related field (advantageous)

Skills

You must have:

  • Previous administrative/supervisory experience (essential)
  • Min 1 year experience in the bush, working as a Field Guide (advantageous)
  • MS Office Suite
  • Guest/Student focus philosophy, living the brand and driving the brand''s experience.
  • Excellent communication skills (written and verbal), practicing honest communication.
  • Team player with positive attitude, enthusiasm, and emotional control.
  • Excellent time management and self-discipline, interpersonal & problem-solving skills.
