Unit Stakeholder Administrator (6 Months Contract)

JOB DESCRIPTION:

PURPOSE OF THE JOB:

To facilitate the smooth and effective operation of the Business Unit by providing support to the unit and the Manager Stakeholder International Relations and Special Projects, with a specific focus on Stakeholder Relations.

KEY PERFORMANCE AREAS:

The provision of Internal Administrative services:

Ensure that all stakeholder related communication received is registered and delivered to the correct recipient
Record and distribute minutes to all meeting attendees
Provide assistance with document copying, binding, and collation.
Ensure availability of paper in all printers and fax machines
Ensure that offices and meeting rooms are clean at all times
Oversee that waste removal complies with green processes

Office Management:

Manage the flow of information pertaining to Stakeholder Relations into and out of the Manager’s office and ensure that necessary action is taken on all incoming information
Effectively receive visitors and appointments
Prepare the meeting packages for the Manager

Procurement:

Co-ordinate the provisioning and payment of stakeholder relations services for the business unit, ensuring that all GTA policies and procedures are appropriately and adequately adhered to
Order, receive and issue stationery

Manage the Senior Manager’s diary and co-ordinate the diaries of other staff within the business unit:

Keep the Manager’s diary up to date
Manage the diary of the Unit Manager by setting up requested appointments with specific stakeholders

General Administration:

Provide general admin support and carry out any other reasonable task as may be requested by management

Self-Development: Performance Management:

Complete a performance management contract
Complete a development plan

Minimum Qualification Requirements:

M+ 3 – Degree, Communications

Related Minimum Experience:

3 years of stakeholder management , communications and public relations
