Admin Assistant

SUMMARY:
Our client is a long-established and well-respected National Property company. They are looking for an energetic and experienced Admin Assistant to join their team.

POSITION INFO:
Requirements:

• Matric essential.
• Minimum 2 to 3 years’ experience in an administrative role.
• Proficient in Microsoft Office, with Advanced Excel skills.
• Experience working on CMA and Loom advantageous.

• Create and capture property listings on the PropData system, including listing forms, descriptions, photos, and updating listings on all websites.
• Manage and co-ordinate marketing of listings on social media, including liaising with the social media agency and assisting the Principal with communications.
• Central communications, including notifying agents of new listings, upcoming viewings and mini listings, and maintaining the centralised calendar.
• Co-ordinate show houses by receiving notices from agents, updating PropData, notifying the social media agency, and printing brochures where required.
• Assist agents by retrieving information from CMA and Loom for canvassing and potential listings.
• Capture and maintain data on the listing management schedule using Excel.
• Type documents, letters, and prepare necessary documents for agents on a daily basis.
• General administration duties and report processing.
• Manage mini listings of properties.
• General office housekeeping and purchase essential office supplies.
• Manage petty cash.
• Operate the front office switchboard.
• Welcome and greet clients, guests, and agents.
• Direct emails to the relevant person.
• Maintain the front office reception area.
• Receive packages and deliveries.

• Ability to work quickly, but accurately, with good attention to detail.
• Organised.
• Presentable.
