The University of Fort Hare seeks to appoint suitable qualified and experienced candidates for the above-mentioned permanent position in the Research and Innovation Office, Govan Mbeki Research and Development Centre (GMRDC). The main purpose of the position is to provide administrative support in the online capturing, verifying, auditing and submission to the Department of Higher Education and Training (DHET) of research outputs of the University of Fort Hare.

JOB DESCRIPTION:

Minimum Requirements:

Honours Degree;
At least 2 years relevant work experience in the Higher Education environment.

Competencies

Computer competency in the Microsoft bouquet;
Good interpersonal skills;
Communication skills;
The applicant must be self-motivated, be able to work under pressure and should have the ability to multi-task;
The successful applicant must be able to work in a team, handle a variety of responsibilities, work with a high degree of discretion and independence and meet tight deadlines;
Must have a client-service orientation.

Duties and Responsibilities Include:

Online capturing of research outputs
- Capture research outputs on the online system for all Faculties, Research Institutes, Research Centres, Research Chairs, Research Niche Areas and other UFH structures.
- Conduct administrative checks and provide researchers with feedback on their captured research outputs.
- Double-check captured outputs to ensure that there are no duplications or resubmissions.
- Calculate units for UFH authors of publications in accordance with the DHET policy on research outputs.
- Compile pertinent research outputs data and information required for reporting purposes.

Provide administrative support to the process of auditing of captured research outputs
- Compile statistics and documents for external auditors
- Compile portfolio of evidence for captured research outputs
- Compile information for motivation letter for late submissions for the Line Manager
- Provide any information requested by the external auditors

Calculating Rand values of DHET-approved units for researchers
- Calculate the Rand value of DHET-approved units for each and every researcher awarded subsidy.
- Prepare spreadsheet of research subsidy amounts to be loaded into research cost centres and submit to Budget Office, Finance Department.
- Inform all researchers awarded research subsidy of their amounts deposited into their respective research cost centres.
- Contribute content for progress reports written by the Line Manager.

Capturing of and subsidy for postgraduate students supervised to graduation
- Obtain verified lists of Masters and PhD students after every graduation.
- Sort out graduated students according to their Faculties.
- Submit lists of graduated students to Deputy Deans of their respective Faculties for second layer of validation.
- Process payment of incentives for supervisors or co-supervisors employed by UFH to their research cost centres.
- Process payment of incentives for external supervisors or co-supervisors to their bank accounts through the UFH HR system.

Process payments of article processing charges (page fees)
- Prepare requisitions for payment of article processing charges (APCs)
- Process payments of 50% of APC from researcher’s research cost centre and 50% from UFH’ budget for APCs.
- Process payments of full APC for students or newly employed researchers who joined UFH not more than 2 years ago.
- Do analytics including return on investment: expenditure on APCs versus income generated from the resultant publications.
