SUMMARY:
Administrator Lubemasters Sandton

POSITION INFO:

We require a administrtor for a variety of key operations, including processing, invoicing, data capturing, maintaining adequate record systems. Focusing on proper procedures, timeous and accurate completion of each Job/order.

The successful incumbent should be competent in the following Duties and Responsibilities:

Receipt of RTO
Create customer quotations
Booking in Job Cards (Technicians) – dedicated file
Allocate Job Cards to customers
Processing of Job Cards
Request Purchase order from customer
Allocate PO number to quote
Check system stock availability
Inform procurement coordinator of stock adjustment
Customer invoicing creating and submission
Matching of Job Cards to Invoices
Ensure all Job Cards are processed
Feedback on unprocessed Job Cards
Capture on preferred system
Weekly sales report submission
Daily update of invoicing-job card spreadsheet
Reporting/feedback as required
Follow up on outstanding Job Cards
Capturing all relevant information and documents on Pastel System

Additional Tasks will include:

Assist payroll with Overtime Sheet
General Administrative Functions
Attending client/customer queries - Ensure the resolution of customer problems and complaints.
Maintaining an updated and organized filing system
Adherence of all Health and Safety requirements with the area of work
Interact with technicians, customers, stores, and management.
Report fit for duty
Ensure all incidents are reported
Ensure good Housekeeping for a safe working area

Qualifications and skills requirements:

MS office package.
Pastel Systems.
Min matric/GR12 or equivalent is required.
Min of 4 years’ relevant experience.
Problem solving.
Ability to work under pressure and adapt to changing situations.
Exceptional customer service skills and a passion for delivering outstanding service.
Accuracy and attention to detail.
Communication skills.
Compilation of reports.
Must be able to function well as part of a team.
Must be able to adhere to time frames.
Assertiveness.
