SUMMARY:

The main purpose of this position:

 
To offer a support function to Sales and Marketing
 

Duties & Responsibilities include:
(But are not limited to)
 

  • General office administration
  • Assist Product and Sales Managers with the pulling of reports (Pastel, BIC) as well as any other assistance required by the Managers, with regards to these reports
  • Planning and completion of all travel arrangements in conjunction with the Travel Coordinator
  • Arrange monthly Capex meeting (Neurosurgery only)
  • Receive and record weekly reports and planners submitted by CS’s
  • Prepare all compliance documentation as per the compliance check list
  • Prepare all BBBEE documentation and submit annually within the required timeframe
  • Compile and distribute Daily/Weekly/Monthly sales figures and reports required
  • Backup/Support to BUA of other divisions and Travel Coordinator when required
  • Preparation of the Travel Packs
  • Preparation of the Transfer Schedules to be sent to the Travel Coordinator
  • Backup for Switchboard when required
  • Process all documentation for payments as required
  • Sourcing of all relevant signatures required for various approvals
  • Book and supervise Reps Meeting Room and Creative Space
  • Assist with input and preparation of all annual Sales and Marketing expense budgets
  • Ensure that training registers are completed and submitted for all internal and external training
  • Send out invitations to customers for all relevant congresses and maintain the Tracker RSVP list
  • Work closely with the Travel Coordinator to ensure all Congresses are coordinated effectively
  • Keep all travel and marketing budgets up to date for accurate tracking of budget spend
  • Receive all completed expense reports and slips for all CS’s, checking information, allocations, obtaining relevant signatures
  • Receive all Stannic Reports and forward to Finance
  • Coordinate and assist in the arrangements and planning of the National Sales Conference and Quarterly Cycle Meetings, for your department
  • Sourcing of various quotes relating to functions and events
  • Assist with artwork approvals for marketing
  • Sorting and distribution of marketing materials
  • Complies with company policies and procedures

Relevant qualification
Minimum 3 years in a similar role
Very strong communication skills
Highly motivated and self-driven
Strong organizational skills
Must be detail oriented, organized and have the ability to multi-task
Microsoft Office: Excel, Word, PowerPoint
