Case Handler/ Property Finance Specialist
POSITION INFO:
This role is responsible for independently managing a caseload of Real Estate Finance transactions from instruction through to completion and post-completion. Working within a fast-paced, high-volume environment, the Case Handler will act as the primary point of contact for clients and stakeholders, proactively progressing matters and delivering excellent customer service throughout the transaction lifecycle. The role combines the responsibilities of a senior paralegal and fee earner, requiring the ability to undertake legal and administrative aspects of transactions with minimal supervision. Whilst files will be subject to final review and sign-off by a qualified lawyer, the Case Handler is expected to take ownership of their matters, identify issues proactively and seek guidance where required. Key responsibilities Matter Management Independently managing a caseload of Real Estate Finance transactions from instruction through to completion and post-completion. Taking ownership of files and ensuring matters progress efficiently and proactively. Managing transactions within agreed service levels and turnaround times. Monitoring key transaction milestones and proactively driving matters forward. Identifying risks, issues and delays early and escalating where appropriate. Ensuring files are maintained accurately and in accordance with firm procedures. Transactional Work Reviewing mortgage offers, valuations, title documentation and searches. Raising and responding to enquiries. Preparing reports on title and lender reports. Drafting transaction documents and correspondence. Reviewing client due diligence requirements, including ID, proof of address and source of funds documentation. Completing matter opening requirements and risk assessments. Coordinating completions and post-completion requirements. Preparing files for final legal review and sign-off. Client Service & Communication Acting as the primary point of contact for clients, brokers, lenders, borrowers and third parties. Building positive client relationships through proactive and timely communication. Providing regular transaction updates and managing stakeholder expectations. Delivering a high standard of customer service at all stages of the transaction. Responding promptly and professionally to enquiries. Operational Excellence Managing a high-volume caseload whilst maintaining accuracy and quality. Ensuring compliance with firm procedures, lender requirements and regulatory obligations. Maintaining accurate records within the firm's case management systems. Supporting colleagues and contributing positively to team objectives. Experience required Experience handling matters within a high-volume, process-driven environment. Experience working directly with clients and stakeholders. Experience using Microsoft Office Suite. Experience using case management systems. Skills Strong attention to detail and commitment to accuracy. Excellent organisational and time management skills. Able to manage a busy caseload and work effectively under pressure. Strong customer service and relationship management skills. Excellent written and verbal communication skills. Desirable Experience Experience working within a property, conveyancing, banking or real estate finance environment. Experience managing residential development, bridging or secured lending transactions.
