Company Secretarial Administrator - Executive & Board Support 3-Month Contract | Potential for Extension Location: Fourways, Johannesburg Salary: R60 000 per month Contract Duration: 3 Months, with potential for extension Start Date: ASAP About the Opportunity An established corporate organisation based in Fourways is seeking an experienced, polished and highly organised Company Secretarial Administrator to support its corporate governance, board administration and executive functions. This position requires a proactive professional with sound company secretarial knowledge, excellent minute-taking skills and the ability to engage confidently with directors, executive management and senior stakeholders. The successful candidate will be comfortable working in a demanding, fast-paced corporate environment where accuracy, discretion, professionalism and the ability to manage competing priorities are essential. Key Responsibilities Company Secretarial & Governance Support Assist the Company Secretarial function with governance administration across the Group and its subsidiaries. Prepare, collate and distribute board packs, resolutions, reports and supporting documentation. Maintain statutory records, governance documentation and organised electronic filing systems. Assist with the administration of local and international company secretarial portfolios. Support the accurate recording and tracking of board decisions, resolutions and outstanding actions. Liaise with internal and external stakeholders on company secretarial matters. Board, EXCO & MANCO Administration Coordinate Board, Executive Committee (EXCO), Management Committee (MANCO) and other governance-related meetings. Prepare meeting agendas, documentation and relevant correspondence. Attend meetings and produce accurate, detailed and professionally presented minutes. Transcribe dictaphone recordings and meeting discussions where required. Maintain action registers and follow up on outstanding deliverables. Ensure meeting records and confidential documentation are appropriately maintained. Executive & Meeting Coordination Provide high-level administrative assistance to the Company Secretarial function and senior executives. Manage meeting schedules, invitations, boardroom bookings and logistical arrangements. Coordinate larger executive and board meetings, including venue preparation and facilities for up to 40 attendees. Facilitate communication and meeting arrangements with local and international stakeholders. Handle sensitive information and executive correspondence with the highest level of confidentiality. Qualifications & Experience Senior Certificate (Matric) or higher qualification. Relevant qualification in Law, Corporate Governance, Business Administration or Company Secretarial Practice advantageous. LLB, admission as an Attorney, CIS\/CGISA qualification or partially completed CIS studies will be highly regarded. Proven experience in company secretarial administration, board governance support or a comparable senior corporate support role. Demonstrated experience preparing professional minutes for Board, EXCO, MANCO or senior committee meetings. Sound understanding of corporate governance processes, board procedures and statutory recordkeeping. Strong document preparation, collation, proofreading and administration skills. Excellent written and verbal English communication skills. Proficiency in Microsoft Office, particularly Word, Outlook, Excel and PowerPoint. Experience with meeting recordings, dictation and transcription. Previous exposure to a large corporate group, listed company or multi-entity environment will be advantageous. Immediate or short-notice availability preferred.
