Data Capturer Clerk

SUMMARY:
Our client, a leader in Information Management Solutions based in the Southern part of Johannesburg is looking to appoint a vault data capturer clerk to join their team.

POSITION INFO:
Purpose of the job:

The candidate will be responsible for accurately and efficiently capturing and processing documents and data for various clients into the operating systems/s.

Key Responsibilities include but not limited to the following:

• Receives, sorts and processes documents in accordance with each specific client’s requirement.
• Sort documents in preparation for indexing and imaging by removing staples, pins and clips as required.
• Apply document barcodes to specified documents.
• Prep/index according to client requirement.
• Link documents correctly to file/file dividers and temporary folders.
• Image documents as per client requirement.
• Check that images are right page up blank pages deleted, quality of the image, number of pages correspond.
• Quality control and verifying of indexing and imaging-ensuring that all capturing, indexing and imaging details as per each specific client have been 100% correctly captured and errors corrected.
• Logging and reporting of errors made for remedial training of indexing and imaging staff by the QC.
• Scan file/folder into e-Scanner locations for image transfer.
• Print required picklists once images have transferred.
• Scan folders into e-Tracker Locations for tracking purposes.
• Print picklist for transfer to active Vault locations.
• Interfile documents from folder to file ensuring that all documents in the folder have been linked to the file.
• Cross reference check that the folder is cleared/empty on the system.
• Creation of new files
• Release processes
• Mail room functions- dispatching and receiving documents from attorneys, couriers, Docex.
• Receiving and dispatching acknowledgements and distribution to various divisions.

• Ability to operate efficiently under pressure - and maintain the required daily processing stats and to meet client SLA’s.

• Must be computer literate
• 1-2 years' experience
