Debtors Administrator

SUMMARY:
New role is available for a Debtors Administrator in the Finance Department for our client in the Chemical and Hygiene Solutions Industry, based in Durban, New Germany.

POSITION INFO:
A detail-oriented and organized finance professional responsible for managing the accounts receivable process, ensuring timely debt collection, accurate processing of debtor transactions, and maintaining compliance in a fast-paced chemical manufacturing setting.

Key Responsibilities

• Debt Collection: Follow up on overdue invoices via reminders and customer contact.
• Receipting: Process receipts and allocations in SysPro.
• Customer Accounts Maintenance:
  
  • Open and validate new accounts.
  • Maintain customer data (discounts, rebates, terms, etc.).
• Account Reconciliation:
  
  • Reconcile debtor accounts and resolve discrepancies.
• Discrepancy Resolution:
  
  • Respond to invoice and payment queries from customers and internal teams.
• Record-Keeping:
  
  • Maintain accurate transaction records and documentation (invoices, receipts, PODs).
  • Email monthly statements and respond to document requests.
• Reporting:
  
  • Generate aging reports and highlight overdue accounts.
  • Communicate debtor status to sales reps.
  • Escalate delinquent accounts for legal action when necessary.
• Compliance:
  
  • Ensure adherence to internal controls and credit policies.
  • Monitor and manage credit limits.
• Audit Support:
  
  • Provide documentation for internal/external audits.
• Document Filing:
  
  • Maintain well-organized filing systems for debtor-related records.
• Account Monitoring:
  
  • Flag and place overdue accounts on hold; notify relevant staff.
• Reception Relief:
  
  • Provide backup support at reception when needed.

Requirements

• Education:
  
  • Matric with Maths (essential), Accounting (advantageous).
  • Diploma or Degree in Finance (preferred).
• Experience:
  
  • Minimum 3 years in a similar debtors/accounts receivable role.
  • Experience managing large debtor books and group accounts across regions.
• Software Skills:
  
  • SysPro (essential).
  • MS Office (Excel, Word, Outlook).
  • MS Teams/Zoom (intermediate level).
• Other:
  
  • Valid driver’s license (Code B) and reliable transport.
