Planning and Procurement Manager (Supply Chain) – Cato Ridge – KZN
- 1. Main purpose of the position:
To assist the SCM Manager in leading and implementing strategy and execution, including procurement, demand, production and material requirement planning. The position will examine existing procedures / processes and streamline activities in such a way that customer requirements are met on time in full and at lowest possible cost, assuring that production, material requirement and dispatch plans are created, maintained and communicated on time.
The position will also identify process improvement opportunities and implement alternate methods to increase efficiencies, product and process quality, reduce costs and improve overall service.
Finally, the position will fulfil a central coordinating role between sales & production departments as well as with suppliers and customers, balancing their different priorities and limitations to reach optimal solutions for the company as a whole.

- 2. Reporting to this position (designation and level)
- Routine/Direct:
2 x Buyers, 3 x Planners, Imports and exports controller.
- 3. Responsibility for Internal and External relations
- Internal:
- Coordinating with sales and production departments on demand, production, material requirement and customer order fulfilment plans
- Coordinating all procurement activities for all departments
- Coordinating strategic material procurement with the Supply chain Manager and Group Procurement Head
- External:
- Vendor selection, evaluation and relation management
- Coordination and follow up with vendors on procurement tenders, quotations and orders
- Coordinating with external customers on the fulfilment of their orders
- Coordinating with customs officials on issue relating to import duties and the bonded warehouse
- 4. Key responsibilities:
- Operational responsibilities/Tasks
Planning
- Implement, evaluate and maintain/improve effective (production, material requirement, dispatch and in/outbound transportation) planning processes and systems through continuous evaluation and improvement
- Support the Supply Chain Manager in Sales and Operations Planning meetings, finding optimal solutions to potentially conflicting priorities of Sales and Production departments and keeping all stakeholders informed on progress against agreed plans
- Liaise with department managers throughout the BU to ascertain actual inventories and constraints as well as future goods flows of each department, so as to assure that planning outputs are accurate, realistic and relevant at all times
- Support the planning of introduction of New Products from successful launch until product retirement
Procurement
- Coordinate procurement activities with Supply Chain Manager, Group Procurement Head and other Procurement Managers in order to generate maximum synergy for the company
- Liaise with BU department heads on their procurement requests and requirements, assuring quick and efficient turn around
- Select, evaluate and maintain relations with vendors through periodic performance reviews
- Negotiate terms of contracts and deliveries that are favourable for the company and comply with local laws and regulations
- Conduct local and international tenders in an efficient and professional manner and bring them to a satisfactory conclusion
- Ensure that company procurement procedures are fully and transparently followed at all times
- Secure material availability in accordance with the Material Requirements Plan
- Study market trends on pricing, alternative sources of materials, shipping practices and other patterns in the industry directly affecting procurement and advise the management accordingly
Logistics
- Liaise with vendors and transportation companies regarding inbound shipments and expedite where required in order to prevent delays and extra charges/demurrage
- Liaise with internal/external customers on loading and delivery of orders following the dispatch plan, including proper documentation for export shipments
- Load and dispatch customer orders following the dispatch plan, in order to achieve maximum On Time In Full deliveries
- Liaise with the Shipping Companies, transporters and other parties involved for smooth clearance of goods
- Develop and maintain effective relations with local customs authorities, ensuring that Import Duties and Taxes are paid
- Ensure (if applicable) all the Bonds given to the government in respect of purchased materials are properly accounted for and cancelled after their utilization
Supply Chain Administration
- Adhere to Company standards and policies in addition to all regulatory requirements
- Support and implement Company initiatives to achieve performance, quality and safety metrics
- Contribute to periodic departmental and company planning and budgeting cycles including the annual Business Plan Process (BPP)
- Evaluate the training needs of all staff reporting to the position and ensure appropriate plans are in place
- Actively support the BU management team in implementing BU- and company-wide policies/procedures and action plans
- Ensure the safeguarding and security of Company assets
- Select, evaluate and develop department employees, following general HR policies
- Pro-actively monitor departmental operational and financial performance and develop personal and departmental action plans to achieve targets set for the department
- Collaborate with Planning managers in the group on sharing best practices and improving performance

- Minimum academic qualification: National diploma in supply chain management / procurement or planning.
- Qualifications as an added advantage: Degree in Supply chain or related qualification
