EXECUTIVE PA

SUMMARY:
The PA will be required to assist executive management with the smooth running of the business.

POSITION INFO:

Your relevant tertiary qualification (diploma/certificate) and 2- 4 years experience in the Financial Services Industry will enable you to do the following duties:

People:

• Assist the CFO and the heads of the support functions with the daily with administrative, organizational and strategic tasks, duties and projects.
• Interact with all stakeholders (including employees, financial advisors, product- and service providers, shareholders, clients, and regulators) as and when required.

Processes:

• Personal Assistant to the CFO:
  • Diary management, including reminders of important dates and events (e.g., public holidays, school holidays, performance reviews, staff birthdays, resignations, and new employees etc.).
  • Screening of calls.
  • Typing and preparation of correspondence and documentation (ad hoc).
  • Book and coordinate travel arrangements.
  • Organize events, conferences etc., including the booking of venues, inviting attendees, travel arrangements and refreshments e.g., strategic sessions.
  • Take confidential minutes of meetings (ad hoc), actioning minutes / matters arising, distribution of meeting packs and other important information
  • Develop, implement and maintain appropriate filing and record-keeping systems.
  • Develop, implement, and maintain information and contact bases, required to support the CFO.
  • Undertake research and subsequent reporting on information, issues or special projects identified by the CFO.
  • Assisting with confidential matters.
  • Screening and actioning of e mails addressed to the CFO.
  • Assist with payment and claim documentation.
• Assistance to the Support Functions:
  • Book and coordinate travel arrangements.
  • Setting up of meetings.
  • Organize events, conferences etc., including the booking of venues, inviting attendees, travel arrangements and refreshments e.g., strategic sessions.
  • Assist with payment and claim documentation.
  • Assisting the Company Secretary with the compilation of Board and Board Committee packs.
  • Meeting administration for the Board, Board Committees and Quarterly meetings. Providing Company registration documents, FICA documents, copies of legal agreements e.g., as and when required.

General:

• Liaise with relevant stakeholders, e.g., Managing Directors, Board Members, employees, etc.
• Coordinate travel arrangements for other executives and board members as required.
• In the absence of the CFO – respond to and action all correspondence, telephone calls, queries and e-mails, if necessary, by consultation and liaison with any other Directors or Managers, in order to progress the business of the company, to take follow-up action as necessary and to report back to the Directors in due course.
• Reception duties as and when required.
• Management of the Reception and cleaning staff.
• General Administration.
