Executive Assistant

SUMMARY:
Our client is a leading global executive search and leadership advisory firm with an international presence across multiple markets and industries. The Johannesburg office supports senior executive search and leadership advisory assignments across South Africa and Sub-Saharan Africa, working closely with global colleagues on cross-border mandates.
 
The Executive Assistant acts as a strategic business partner to senior consultants, supporting client management, search execution, project coordination, and administrative delivery. This is a high-responsibility role requiring professionalism, strong organisational ability, attention to detail, and confidentiality within a fast-paced consulting environment.

POSITION INFO:

Key Responsibilities

Executive & Assignment Support

• Manage day-to-day communication with clients, candidates, and stakeholders
• Coordinate complex diaries and scheduling priorities
• Arrange candidate interviews, client meetings, update calls, and video conferences
• Coordinate local and international travel arrangements
• Arrange consultant business travel and logistics
• Support consultants across the full assignment lifecycle

Client & Candidate Coordination

• Act as a key point of contact throughout search processes
• Maintain professional relationships with senior-level stakeholders
• Ensure smooth coordination across multiple assignments and projects
• Support management appraisal and leadership assessment projects

Documentation & Presentation Preparation

• Prepare high-quality client-ready documents and presentations
• Assist with PowerPoint presentations, reports, and meeting documentation
• Ensure accurate formatting and professional presentation standards
• Proofread and quality check documentation

Database & Administration

• Maintain accurate records and workflow tracking on internal systems
• Capture assignment activity, notes, emails, and appointments
• Support data integrity and document management processes
• Process expense claims and support invoice coordination where required

Business Development Support

• Assist with arranging business development meetings and events
• Support consultants with client relationship management activities
• Coordinate lunches, networking engagements, and related activities

Requirements

• Relevant tertiary qualification preferred (Secretarial, Business Administration, Office Management, Communications, or similar)
• Advanced Microsoft Office certification advantageous
• Minimum 3+ years’ experience in a support, coordination, or Executive Assistant role
• Experience within professional services, consulting, financial services, legal, executive search, or corporate environments advantageous
• Strong Microsoft Office skills (Word, PowerPoint, Excel, Outlook)
• Excellent written and verbal communication skills
• Strong stakeholder engagement ability
• High attention to detail and strong organisational capability
• Ability to manage confidential information professionally
• Experience coordinating multiple projects and deadlines simultaneously
