Coordinate all EXCO team meetings and assist with staff meetings.
Provide event management support as requested.

- Act as the point of contact with executives, employees, clients and other external partners
- Coordinate all EXCO team meetings and assist with staff meetings.
- Provide event management support as requested.
- Prepares reports by collecting and analysing information.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Manage executivesâ?? calendars and set up meetings
- Prepare and edit correspondence, for internal and external communication â?? memos, emails, presentations, reports
- Conduct research, collect and analyse data to prepare reports and documents
- Manage and maintain executives'' schedules, appointments and travel arrangements
- Record, transcribe and distribute minutes of meetings
- Monitor, screen, respond to and distribute incoming communications
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels
- Interact with external clients
- Co-ordinate project-based work
- Review operating practices and implement improvements where necessary
- Liaison with the various internal departments
- Prepare weekly, monthly or quarterly reports
- Work with minimal supervision
Skills and Experience:
Essential Qualifications:
- Grade 12 qualification
- Qualification in office management or administration
Preferred Qualifications:
- Diploma in office administration and management
Essential Functions:
- At least 5 years work experience as an Executive Assistant, Personal Assistant or similar role
- Previous experience in reporting to Directors of the company
- Excellent MS Office knowledge
- Working in a large scale organisation
- Time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Problem analysis and problem solving skills
- Judgment and decision-making ability
- Attention to detail and accuracy
- Valid driverâ??s license and reliable own transport
- Willingness to work overtime during peak times and when deadlines are close
