Executive PA and Finance Admin

SUMMARY:
Our client in Paarl is in need of an efficient, self-motivated and highly organised individual as Finance administrator & executive PA to the Managing Director and Director.

POSITION INFO:
The successful candidate must have:
Grade 12 minimum & preferably an office / finance administration or related qualification
Minimum 10 +  years relevant work experience
Must have general finance experience 
Excellent administrative skills, highly proficient in Excel, Word & Pdf
Preferably experienced in working on an ERP system
Strong inter-personal skills
Excellent communication skills and fluent in English to engage with international visitors and customers
Self-driven and reliable who can work under pressure and independently
 
The successful candidate would be responsible for:
PA duties for the MD & Director:
Manage Diary and boardroom bookings
Arrange Meetings, internal and external
Receive guests
Expense claims
Credit Card and Fleet card claim forms
Travel Arrangements and Out of Town Allowances
Ad Hoc duties relating to Sales orders and debtors outstanding
 
Executive secretary duties for the Commercial Manager and Group Financial Manager:
Full bookkeeping functions for small family owned businesses
Prepare quarterly board meeting summary reports
Reserve Bank applications status summary reports
Summary of Monthly Sales Meetings – includes outstanding quotes
Sales Quotes referencing
Binding of Sales Quote, to be sent to customers.
Summary of open orders for the Packaging Equipment Division
Job Costing summary for projects on request
 
General finance and admin duties:
Vendor forms.
Cell Phone administration – (top-up data, minutes, new contracts, upgrades, monthly report)
Fleet Card administration, new card applications, service limits increase & monthly reports
Bank credit card  - new applications and limit increases
Fleet administration – Vehicle licenses, services and maintenance, traffic violations
Complete Stats reports, monthly Work In Progress updates & quarterly reporting
Backup support for Travel Office administration
