ABOUT THE JOB

We are looking for a Facility Operations & Events Officer to support the smooth day-to-day functioning of our office environments while owning the logistical preparation and coordination of the companies events. This role ensures that our facilities run efficiently and that events are executed with structure, preparation and attention to detail. You will coordinate inventory, suppliers and office operations while preparing and packing event materials, managing ticketing administration, coordinating travel logistics and supporting on-site event execution. You will play a key role in making sure everything behind the scenes is organised, prepared and ready – ensuring our environments are operational and our events run smoothly and professionally.

Key Responsibility Areas:

• Manage day-to-day facilities and office operations to ensure a clean, safe and functional environment
• Coordinate inventory, procurement processes and supplier relationships
• Provide operational and administrative support to the People Support team
• Prepare and manage event logistics, including packing lists and material preparation
• Manage event ticketing administration and recognition lists
• Coordinate travel, accommodation and transport logistics for events
• Support on-site event execution, including venue and service provider coordination
• Complete post-event reconciliation and documentation

You are structured, organised and hands-on. You enjoy creating order in operational environments and take pride in ensuring that everything is prepared, accurate and delivered on time. You work well with multiple moving parts, remain calm under pressure, and naturally bring structure to logistics and planning. You are detail-oriented, dependable and thrive in environments where teamwork and execution matter.

EXPERIENCE

• 3–5 years’ experience in office coordination, facilities support, event logistics or administration
• Experience coordinating vendors or suppliers
• Exposure to inventory or stock management
• Experience supporting cross-functional teams
• Experience supporting high-volume or member-facing events will be advantageous

KNOWLEDGE

• Office management procedures and operational coordination
• Inventory and stock control processes
• Vendor and supplier coordination
• Basic financial and procurement processes
• Proficiency in MS Office (Word, Excel, Outlook)

1. Facilities Coordinator: Ensuring the office environment remains clean, organised and operational.
2. Logistics Controller: Preparing, packing and coordinating all materials required for company events.
3. Vendor Liaison: Coordinating suppliers, contractors and service providers to ensure smooth operations.
4. Event Support Coordinator: Supporting on-site event execution, logistics and crew coordination.
5. Operational Organiser: Bringing structure, accuracy and process to multiple moving operational parts.

1. National Senior Certificate (NQF 4) – required
2. Diploma in Office Administration, Event Management or Hospitality – advantageous
