SUMMARY:
A leader in its industry is currently seeking for a Fund Administration Supervisor to join their team, the main function of this role is to supervise the accurate and efficient administration of pensioner payroll and provide support to all related stakeholders

POSITION INFO:

The successful applicant duties include but is not limited to:

Maintain Monthly Pensioner Payroll

•Achieve timeous and accurate running of the pensioners’ payroll, monthly, ensuring that they receive payslips as scheduled.
•Arrange and sign-off requisitions for the transfer of funds, ensuring sufficient funds in the bank accounts.
•Extract the recovery of Medical Aid and Death Benefit in accordance with procedure.
•Execute payments before payroll run date, checking accuracy of information.
•Execute payments to creditors by stipulated deadlines.
•Execute payments to overseas pensioners, as scheduled.
•Review General ledger accounts pertaining to payroll and Tax, following up with any issues identified appropriately.
•Approve all changes performed by Administrators, checking accuracy of information.
•Make payments via Host-to-Host system, according to procedure.
•Perform Reconciliations(Gross Earnings including Deductions and Medical Aid) before and after payroll runs to check that payments are correct.
•Apply to Reserve Bank for authority to effect overseas payments, following standard procedure.
•Book rates from bank in terms of foreign exchange, according to procedure
•Attend to all rejections from Benefit and Pension payments

 

Provide Payroll Management support

•Assist the Manager with ad hoc projects
•Stand in for Manager in all meetings when requested including that of Executive Management
•Attend the Risk Committee Meetings as a Departmental Risk Champion
•Attend to POPI related matters including meetings
•Ensure that the payroll processes are operating effectively
•Actively manage the risk pertaining to the department
•Oversee filing system, achieving stipulated objectives.
•Liaise with stakeholders (pensioners) on payroll and other financially related queries, resolving appropriately telephonically and in writing.
•Review all new and historic benefits payable (workflows and manual payments) for accuracy against supporting documentation
•Co-ordinate Pension Data for Actuarial reporting
•Attend to all Audit queries ensuring no Audit findings.

 

People Supervision

•Delegate work to subordinates
•Supervise work of subordinates in compliance with policy and procedures relevant to the section.
•Train and mentor subordinates
•Deal with queries and escalated issues
•Manage the performance of direct reports in accordance with performance management policy and procedures of our client.
•Discipline staff in accordance with organizational codes and procedures so that improvement is shown.
•Facilitate communication through appropriate structures and systems.
•Investment Administration Support
•Attend relevant training courses to continuously improve technical skills.
•Assist colleagues to reduce logging of calls by providing expertise in investment accounting and administration.
•Make recommendations on increasing the efficiencies of investment administration processes.
•Assist with utilisation of OMNI financials.
•Attending to audit requests and provision of financial information during the audit
•Perform other administrative tasks i.e. filing and Fraxion requests

Minimum Requirements:

•Diploma /Degree in Finance / Accounting
•At least 3 – 4 years experience in a financial / retirement environment, preferably in the Pension Fund Industry
•Payroll Management Experience
•People Supervision
•Stakeholder Management Experience
•Risk Management Experience
