SUMMARY:
HR Admin Manager required to ensure the employee data and HR processes are managed according to Company values, HR strategy and compliance and governance frameworks which make the employee experience seamless.

POSITION INFO:
Key Responsibilities
Payroll

  • Manage the payment schedule of the business based on the payroll timelines and ensure payments are done on time as per service level agreements.
  • Manage the integrity of payroll data and compliance of the team members responsibility to make payments on time.
  • Manage and control all payroll processes, templates and systems required to deliver an essential service.

Personal administration
  • Understand, develop, manage, and communicate all processes that affect the new hire appointment process, the internal movement and transfer process, the promotion process and employee termination process.
  • Manage the storage, processes, tools and templates for Personal administration in one central and cloud-based system.
  • Communicate and train all management and HR controllers in country on the process for managing personal administration.
  • Audit and manage the integrity of employee data flow and storage.
  • Report on employee movements at the end of each quarter.

Employee communication
  • Ensure there is a process for each employee to receive their Payslips and Tax certificates.
  • Manage the communication of promotions, appointments and transfers through standardized Letters that represent the Company values and brand.
  • Manage the content of communication that is sent to the business in clear and concise manner.

Systematic filing & data management
  • Comply with legislative requirements regarding the collection, storage and access controls for employee information.
  • Manage the integrity of accurate information on HR systems.
  • Manage and coordinate the audit checklist and compliance processes for all HR information per site and country.

Employment Equity
  • Creation, management, and submission of employment equity reports.
  • Manage the employment equity committee.
  • Manage the employment equity plan and align outcomes to talent management processes and outcomes.

Statutory submissions over site
  • Compliance onsite regarding all country specific regulations and onsite contractual obligations.

Benefits and Remuneration
  • Administration of documents regarding policies, medical aid, insurance risk and union fees.
  • General filing surrounding documentation

Requirements
  • VIP premier payroll system
  • Basic Conditions of Employment Act & LRA
  • Best practice administration in compliance
  • Relevant Qualification
  • 5 to 8 years relevant experience within an HR function

  • Be able to plan and organize systematic processes
  • Be able to handle pressure
  • Communication and ability to manage multiple stakeholders
