Responsibilities

Recruitment

  • General administration and facilitation of the development and recruitment process of :
    • Staff members
    • Drivers
    • Supervisors, Restaurant Managers
  • Sourcing candidates for vacant positions within the company and compiling documents for HRBP to utilize
  • Assisting with the screening of individual applications
  • Administration of the initial assessments if needed with applicants
  • Communication with all possible candidates and other stakeholders when needed to conduct interviews
  • Initial interviews of possible candidates together with members of management
  • Liaising with external recruitment agencies to ensure effective administration of the process.
  • Assist in the finalization of employee contracts and all relevant payroll information that is needed.

Provident Fund Administration

  • Providing information to new recruits regarding the company Provident Fund
  • Ensuring new entrant information is correctly captured and all necessary documents are attached
  • Facilitating the administrative process for all funeral claims, death claims, retirements, and housing loan applications for the company restaurant personnel as well as Head Office staff
  • Assist with the withdrawal forms for terminated employees on various provident funds

Compile and Update HR Statistical Reports

  • Compiling monthly reports relating to staffing requirements for the company. Specifically referring to:
    Actual vs. Budget Report:

Management Headcount

Staff member recruitment

Active Drivers and Coordinators

HR weekly meeting feedback

Survey Results online

Any other reports as needed

Reception

  • Serving visitors at the company by greeting, welcoming, and directing them appropriately
  • Answering the switchboard, screening and forwarding calls
  • Receiving and sorting daily mail, couriers, and deliveries

Payroll

  • Pulling daily fire cloud/GAAP clock-ins and reports and checking that restaurant team members are working their contractual hours as they are rostered to do
  • Ensuring that rosters on Firecloud/GAAP POS tie back to the hours that staff is working.
  • Ensuring, that where there are challenges with the hours on Firecloud the matter is escalated with urgency to the HR Business Partner, Area Manager, and where necessary the HOD for OPS and HR
  • Ensuring that all new staff are captured on the payroll system accurately
  • Compiling UIF paperwork for Maternity leave and terminations and assisting walk-in staff members with needed paperwork
  • Receiving old uniforms returned from staff members upon termination of retirement

Health and Safety

  • Ensuring the effective administration of Health and Safety within the company through scheduling health and safety training timeously for first aid, fire fighting, and health and safety
  • Administration of monthly Health and safety checklists and reports
  • Control and distribution of first aid stock to restaurants
  • Scheduling quarterly health and safety ( and Employment Equity) committee meetings
  • Administration of all Injury on duty claims and registration of these claims to workman’s compensation.

Training administration

  • Assist Head of Training with compiling necessary reports for Workplace Skills submission
  • Ensuring that all training registers are filed and processed correctly.
  • Liaising with HRBP and Training admin to ensure the correctness of staff in the restaurant, Stewardship reports as well as GEM
  • Ensure that HRBP has an adequate supply of any training documentation needed including copies of policies and other training material.

General Administrative Duties

  • Deal with employee requests regarding Human Resource concerns
  • Ensuring compliance with Departmental processes relating to recruitment and selection
  • Assisting Human Business Partners with information and statistics relating to specific restaurants.
  • Maintains employee confidence and protects operations by keeping human resource information confidential
  • Maintains quality service by following organization standards

Requirements

  • HR Diploma
  • Matric
  • 3 years of HR Administrator experience
  • 3 years of HR Software Fire Cloud experience
  • Advanced Excel skills
  • 3 years of CCMA Document monitoring experience
  • 3 years of report writing experience
  • Very presentable
  • Own car - travel often
  • Only SA Citizens will be considered
