As the second appointment within the HR Department, in a rapidly expanding opencast mining environment, the HR/IR Administrator will serve as the right hand to the HR Manager.
POSITION INFO:
HR Administrator (Mining\/Heavy Industry), Port Shepstone, KZN South Coast, R 25 000 to R 30 000 Gross CTC per month JOB PURPOSE As the second appointment within the HR Department, in a rapidly expanding opencast mining environment, the HR (and IR Administrator) will serve as the right hand to the HR Manager. The successful candidate will take full ownership of day-to-day employee relations, first-line industrial relations (IR), and the pre-reconciliation of the site payroll before it is sent to the outsourced payroll partner. KEY PERFORMANCE AREAS (KPAS) Disciplinary Frameworks: Coordinate, initiate, and administratively manage internal disciplinary enquiries, grievances, and capacity hearings. Case Management: Ensure comprehensive compilation of evidence files and case bundles for internal hearings or CCMA referrals. Union & Bargaining Council Interaction: Serve as a reliable point of contact for site shop stewards; interpret and apply relevant sector bargaining council agreements and main agreements. Conflict Resolution: Proactively manage and de-escalate day-to-day workforce friction on-site before it escalates to formal disputes. Outsourced Liaison: Act as the primary gatekeeper for the outsourced payroll provider, ensuring timelines and accuracy constraints are strictly met. Pre-Reconciliation: Capture, verify, and cross-reference all monthly site payroll variations-including opencast shift rosters, overtime, production bonuses, site allowances, and unpaid leave. Data Management: Input clean, error-free employee data into the internal time-and-attendance systems before exporting data to the service provider. Queries: Resolve first-line employee payroll queries, discrepancies, and tax certificate (IRP5) requests swiftly. Onboarding & Induction: Take over the end-to-end site onboarding process, ensuring medical clearances, site safety inductions, and contracts are filed correctly. Compliance Documentation: Maintain meticulous, audit-ready employee files in compliance with the Mine Health and Safety Act (MHSA) and Basic Conditions of Employment Act (BCEA). HR Manager Support: Take on routine administrative burdens, drafting of internal memos, policy rollouts, and ad-hoc operational requests to free up the HR Manager''''s capacity. MINIMUM REQUIREMENTS & QUALIFICATIONS Minimum of 3-5 years of progressive HR experience, with a heavy emphasis on Industrial Relations (IR) and Payroll Administration. Proven, referenceable experience working on a Mining Site (Opencast or Heavy Industry\/Construction environments are highly preferred due to the nature of site regulations). Strong working knowledge of South African Labour Law (LRA, BCEA, EE Act) and practical experience dealing with trade unions and chairing\/initiating disciplinary hearings. Practical experience with standard payroll concepts (PAYE, UIF, site allowances, shift configurations). Experience using systems like Sage 300, VIP, or VIP Premier is highly advantageous.
