SUMMARY:
The HR Generalist will provide a Group Human Resource Service by Serving as the first point of contact for HR issues to all Staff. Engineering Consultancy/Construction Industry background required.

POSITION INFO:

One will support the Group HOD:  Human Resources in Management of Group HR Operations in the Areas of Workforce Planning, Maintenance of Org Chart, Talent Acquisition, Employee Engagement & On-Boarding, Leadership of HR Processes & Procedures to ensure compliance and provision of Advisory Services, oversee the IR function, Learning & Development support, high level HR Administration, Oversee the Performance Management of Staff and Reward thereof, Payroll Processing, Benefits Management and overall HR Projects Coordination.  It pays between R240 – R300,000.00 Per Annum Negotiable.

 

JOB DESCRIPTION

 

KEY JOB PURPOSE: -

  • To provide a Professional HR Coordination & Support Service to Line Management in the areas related to Recruitment, New Appointments, Terminations, Payroll & Benefits Administration, IR, Learning & Development, Performance Management and HR Policies.
  • To maintain accurate employee records.
  • To ensure that Staff Salaries are processed timeously and paid out each month.
  • To ensure that Statutory Returns are paid and submitted, Debtors funds received timeously and Income Statements produced.

 

KEY HR FUNCTIONS:

  • Human Resource Service – Serve as the first point of contact for HR issues to all staff within the Group.  Coordinate complex HR Projects cross-functionally in conjunction with Group:  HR Manager and Proactively supports the delivery of HR Processes.
  • Relationship Management- Generate and sustain the concept of loyalty and goodwill between the Management Team and the Employees.  Build a strong business relationship with the internal clients.
    • Assist HR Management with the processing and issuing of HR Policies, HR Reports and ensure necessary formatting as per standard templates.
    • Recruitment & Selection – from Job Description Drafting after Line Management briefing, Coordination of all applications, Screening of CVs, Shortlisting & Interviewing for Junior Positions, up to employee appointment and handling of all new engagement processes inclusive of the Induction Programme’s Facilitation.
    • Terminations – Receive notification of termination of employment and process all terminations with relevant stakeholders e.g. Payroll Systems, IT Systems, Benefits Providers.
    • Employee Relations (IR) Support – Manage the business’ risk in the South African Labour environment to the business’ best interest by ensuring management and maintenance of sound Employee Relations within the areas of Misconduct, Medical Incapacities, Probation Management, and Incompetency / non-Performance from IR Polices & Procedures Maintenance & Compliance, Internal IR Cases Support in terms of facilitating Internal Investigations, Formulation of Charges, Facilitation of Internal Hearings and Attending to Grievances, issuance of Verdicts e.g. Warnings etc.  Liaison with Union Bodies, handle Dealings with Union Bearers for Union Member’s IR Matters, Operational Matters, Wage Negotiations etc.  Working in partnership with HODs and Managers, manage employee relations issues. Build management responsibility and capability for managing ER/IR (where appropriate) issues and improve the effectiveness of consultation.
    • Performance Management– Administer the and implementation and maintenance of a contextualized Performance Management System linked to Individual Performance Management to Training and Development through identification of Individual Learning Plans.
    • Learning and Development- support L & D initiatives from Employment Equity Compliance Submissions, Workplace Skills Plan & Training Plans compilations & SETA submissions, Skills Development Levies claims & Training Initiatives Facilitation.  Support the business area with the management development of their people, providing advice, guidance and facilitate ad-hoc training on Personal Development Plans and work with the business area to establish and introduce systems that identify employees with high potential, develop career paths in consideration of key roles for succession planning for key talents and key job positions and self-development.
      • Administer Employee Wellness Programme - continuously monitor and administer the program through presenting Statistics Analysis to Management, Initiate Intervention Programmes, Keep Abreast of EWP Trends with an intention to ensuring that it impacts on Staff morale and the organisational climate.
      • Health & Safety- Assist Group Divisional Heads with the implementation of a H & S System across the organisation.
        • Administration – HR Office Administration and Divisional Logistics Arrangements and Projects Co-ordination.
        • Management of Employee Personal Files and conducting necessary audits as and when required.
        • Ongoing Management of the HR Filing System by updating the System when necessary and keeping the filing up to date.
        • Maintain the data integrity of the Human Resource Management Database and employee files.
        • Collation of information for monthly HR Reporting.
        • Co-ordinate all Human Resource Management correspondence.
        • Timeous Processing of all HR Payments and further Conduct Monthly Budget Reconciliation for the Human Resource Business Unit.
        • Intelligence - Keep abreast of developments in both the Industry and in Human Resources with regard to Products and Services and the Amendments to Legislation and precedent.

 

KEY PAYROLL FUNCTIONS:

  • New Engagements & Terminations – Manage the Employee administrative process for New Entrants, Transfers, Terminations and Retirements on VIP Payroll System.
  • Payroll Processing – Ensure that the Payroll information is collated, captured and calculated on the system for payment of salaries to staff and allocated per relevant Cost Centre.
  • Management of Staff Loans – Ensure proper administration of Staff Loans and deductions thereof for full collection of amounts owed by staff.
  • Payroll Reconciliations – Perform Monthly Salary Reconciliations and maintain all records thereof.
  • Benefits Administration and Reconciliations – Monthly Administration and Reconciliation of all company benefits i.e. Medical Aid Schedules, Provident Fund, Leave Benefits etc. and ensure that all reconciling items are cleared.
  • Administration of Salary Increases & Bonuses Exercise – Administration of the Salary Increases and Bonuses Exercise.
  • Processing of Payments – Process and monitor all HR related payments e.g. Statutory and HR Service Provider Payments.
  • Maintenance of VIP Payroll System –Update Payroll Records of our employees and ensure uploading of an update Disk on VIP System on Tax and Legislative Changes.
    • Management Reporting on Statistical Reports – Compilation and issuing of Payroll related reports and Statistical Reports as and when required.
    • Assist Female employees with the processing/completion of UIF Applications during Maternity Leave.
  • General Payroll Administration & Record Management– Management of the Physical Payroll Filing System and ongoing update to Staff on new benefits and or tax regulations that affects their pay.

 

KEY JOB REQUIREMENTS: -

  • HR Diploma or HR Degree or equivalent.
  • Extensive Knowledge of the VIP Payroll System from the HR Personal Record side to the actual Payroll Processing & Maintenance.
  • Experience in Learning & Development support from Employment Equity Compliance Submission & Workplace Skills Plan formulation & Training Plans compilations & SETA submissions, Skills Development Levies claims & Training initiatives facilitation – Skills Development Facilitation.
  • Must have strong IR experience within a Unionized environment and Dealings with Union Bearers, Shop Stewards & Wage Negotiations.
  • Must have experience in Administering the Recruitment Function from Job Description Drafting after Line Management briefing, Screening of CVs, Shortlisting & Interviewing for Junior Positions.
  • Strong HR Compliance expertise.
  • Must have between 3 – 5 years’ experience in the HR Field, Overall HR Generalist/Management expertise across all HR Functional Areas /Operations with passion for People and willingness to go an extra mile
