ROLE SUMMARY

The HR Time and Attendance Systems Manager is responsible for the management, support and maintenance or necessary development of the Time and Attendance system, Kronos.

The incumbent will be responsible for Kronos end-user training and support. Responsible for the development of reports and distribution of reports according to the business requirements.

The incumbent will also ensure system integrity and security settings are kept in place and ensure SOP’s and policies are developed and maintained. The incumbent will further manage the HR systems team.

KEY WORK OUTPUT AND ACCOUNTABILITIES

System Support

ï‚· Ensure complete and timeous report of the helpdesk.

ï‚· Ensure the HR systems team provide first line support to all regional and site teams including site HOLO’s.

ï‚· Ensure first line support to all national stakeholders.

ï‚· Manage training and travel budgets relating to the Time and Attendance system.

ï‚· Support Time & Attendance Kronos stakeholders by providing insight into Time & Attendance workings.

ï‚· Run signoff and payroll interfaces.

Training

ï‚· Ensure training needs analysis and skills audit are performed.

ï‚· Facilitating coaching to regional time and attendance team.

ï‚· Identify consistent problem areas and formulate training initiatives.

ï‚· Identify consistent problem areas and develop monitoring reports.

Documentation

ï‚· Maintain and update existing CSA’s, SOP’s and policies.

ï‚· Understand, implement and approve the BYTES Service Level Agreement.

Audit

ï‚· Audit Time and Attendance policies and procedures on an ongoing basis.

Reporting

ï‚· Ensure report delivery according to business requirements.

Supervision / Management of staff

ï‚· Manage and provide support and coaching to direct reports & indirect reports.

Special Project

ï‚· Implement special project plans.

Risk and compliance

ï‚· Ensure full compliance to statutory regulations, policies, procedures, best practice and professional standards.

ï‚· Participate in the process towards compliance of all system interventions.

ï‚· Identify risks, maintain a risk register and mitigate any risks identified.

ï‚· Ensure alignment of the system to governance requirements and the regulatory framework and manage any

uncertainties from the business that may arise as a result of such concerns.

SKILLS PROFILE

EDUCATION

ï‚· Minimum grade 12 (NQF Level 4) Qualification Essential.

ï‚· Relevant tertiary qualification in HR or HR systems will be advantageous.

WORK EXPERIENCE

ï‚· Work experience in an IT systems and development environment.

ï‚· Minimum 5 years’ experience on Kronos and 3 years Senior level management experience required.

ï‚· Work experience in a hospital environment.

ï‚· Previous experience on Kronos system and SQL essential.

ï‚· Sound knowledge of HR practices, HR systems (personnel, payroll and time and attendance).

ï‚· Advanced computer literacy essential – MS Office Package (Word, Excel).

KNOWLEDGE

ï‚· Computer literacy must be at an experienced / advanced level.

ï‚· Proficient knowledge of the Kronos system.

ï‚· Good working knowledge of Vision and Sigma (helpdesk support application) advantageous.
