Primary Job Purpose
Reporting to the SCM Manager, the Inventory Officer is responsible for managing inventory in alignment with company policies and procedures .
Principal Outcomes
- Develop and implement inventory and invoice receipting processes.
- Establish internal control systems for inventory and receipting.
- Oversee SAP invoice capturing by Stores Administrators.
- Prepare and present stock reconciliations (monthly, quarterly, annually).
- Capture stock discrepancy journals on SAP.
- Maintain accurate physical and SAP-based stock records.
- Identify and propose disposal of redundant stock.
- Conduct scheduled stock counts and invoice reporting.
- Handle disposal of obsolete or damaged stock.
- Prepare write-off reports and process approvals via SAP.
- Manage goods receiving and issuing functions.
- Set up storehouses and manage stock levels.
- Supervise subordinate staff directly.
- Ensure compliance with PFMA and related legislation.
- Implement and report on audit and risk action plans.
- Enforce HR policies (Performance Management System, training, etc.).
Decision Making
Responsible for identifying, designing, and coordinating multiple store-related activities. Develops inventory systems, policies, and procedures; advises departments on inventory best practices. Strategic decisions may require management approval.
Knowledge & Skills
- In-depth knowledge of inventory and store management practices.
- Experience with Treasury Regulations, PFMA, PPPFA, and SAP systems.
Complexity & Problem Solving
Applies advanced problem-solving methodologies to inventory and logistics issues. Involves theoretical and technical inputs, sometimes requiring managerial guidance.
Accountability
Fully accountable for the availability of stock across schemes and effective functioning of inventory systems.
Judgement & Impact
High-level planning and coordination affecting organisational operations, logistics models, and procedural compliance across departments.
