JUNIOR BUYER/ADMINISTRATOR

Role Purpose

To manage the procurement and purchasing processes for branded merchandise and promotional items, ensuring timely delivery, cost efficiency, and alignment with client specifications

Key Responsibilities

• Procurement & Supplier Management
• Source promotional products from local and international suppliers
• Negotiate pricing, lead times, and delivery terms
• Maintain strong relationships with preferred vendors
• Order Processing & Inventory
• Create and track purchase orders using ERP systems
• Monitor stock levels and replenish inventory based on demand forecasts
• Coordinate with warehouses to ensure accurate stock movement and delivery
• Administrative Support
• Capture invoices and reconcile purchase orders
• Maintain accurate records of discontinued items and supplier communications
• Assist with GRN (Goods Received Notes) and credit note retrieval

• Reporting & Coordination
• Run daily, fortnightly, and monthly stock reports
• Update out-of-stock lines and ensure correct pack sizes
• Liaise with finance and sales teams to resolve queries and support client orders

Skills & Competencies

• Intermediate to advanced Excel proficiency
• Strong organizational and time management skills
• Excellent communication and negotiation abilities
• Familiarity with promotional product cycles and branding logistics
• Attention to detail and ability to multitask under pressure

Qualifications & Experience

• Matric (with Maths & Computer Literacy preferred)
• Diploma or certificate in Procurement, Supply Chain, or Business Administration
• 2+ years’ experience in purchasing or inventory administration, ideally in promotional or retail sectors
• Advanced Excel experience
• Experience with ERP systems and data capturing tools
