JOB SUMMARY:
Oversee and performing administrative functions concerned with a project. This includes calling contractors, making appointments, ordering supplies, reconciling budgets and ensuring invoicing is done for all work completed.

JOB DESCRIPTION:

REQUIRED LEARNING

Grade 12
Computer Literate – Microsoft – Outlook/Word/Excel (Essential)
At least 2-3 years IT industry experience
Prince Certificate would be advantageous
Project Administration experience would be advantageous
Pastel knowledge would be advantageous

KEY JOB OUTPUTS

Ensure all quotes are invoiced and paid where necessary
Ensure all sub-contractors invoiced are received timeously, processed, and billed
Co-ordination of all projects purchasing
Raise quote when needed
Maintain a record for all income, expenditure.
Assist in coordinating and reconciling invoices.
Resolve queries raised relating to the project budget and or invoicing
Ensure all client services are billed correctly
Assist project manager in all administration functions and processes
Monitor travel, equipment and other expenses directly related to project budget
Track project financials: forecast vs. actual
Consolidating and presenting monthly projects progress and outlook
You may also be required to undertake other assignments from time to time, depending on the needs of the company - projects and business departments.
Liaising with clients daily
Assisting clients with their queries (where possible) when the Manager is unavailable
