SUMMARY:
Our client, a well-established service provider is seeking an organised and proactive Junior Office Manager to join their dynamic team in Brackenfell, Cape Town. This is an exciting opportunity for someone who enjoys a fast-paced environment, has strong multitasking abilities, and thrives on keeping things running smoothly behind the scenes. The Junior Office Manager will take charge of coordinating the branch’s daily activities, supporting sales and operations, managing client schedules and contracts, and ensuring all administrative processes run efficiently. You’ll be the key link between clients, the technical team, and management — keeping everything on track, up to date, and well organised.

POSITION INFO:
KEY RESPONSIBILITIES
Sales

Answer incoming calls and handle sales or service enquiries professionally.
Capture and follow up on leads and new client requests.
Support the sales process with accurate information and client communication.

Clients

Manage and update the monthly client service schedule.
Maintain contracts, client files, and service documentation.
Prepare and issue invoices, monitor bad debt, and assist with collections.
Handle client queries, complaints, and service feedback.

Operations

Coordinate and update the daily service schedule, including reschedules and urgent calls.

Liaise daily with technicians, the operations team, and the regional manager.
Manage the PestScan system (job cards, schedules, and reports).
Oversee stock management and consumable control.
Reconcile monthly slips and petty cash; submit reports timeously.
Manage vehicle logbooks using Tracker and ensure compliance.
Maintain HR records, including attendance, leave, and staff documentation.
Support internal communication and ensure smooth operational flow.

REQUIREMENTS

Matric / Grade 12 (essential).
Qualification in Office Administration, Business, or Operations Management (advantageous).
2–3 years’ experience in office administration, operations coordination, or client service.
Experience in a service-based or technical environment (pest control, cleaning, logistics, etc.) is beneficial.
Strong computer literacy — MS Office, especially Excel & Outlook.
Experience with CRM or service software (e.g. PestScan) is an advantage.
Basic bookkeeping or accounting exposure (preferred).
