SUMMARY:

Job Summary

We are seeking an experienced and detail-oriented Laboratory Administrator to manage the day-to-day operations of our laboratory in Midrand. The ideal candidate will have previous laboratory experience and must have handled the purchasing of reagents, reference standards, glassware, and other laboratory consumables.

This position is responsible for ensuring the laboratory runs efficiently and in full compliance with safety and regulatory standards. The role includes administrative, procurement, and coordination duties to support laboratory teams and management.

Key Responsibilities

• Manage laboratory waste disposal in accordance with SOPs and collaborate with the Operations Manager.
• Verify and process supplier documents in collaboration with the QA Lead, ensuring adherence to the approved supplier list.
• Source quotations and order reagents, reference standards, columns, glassware, and consumables.
• Prepare, issue, and manage laboratory worksheets and report sheets per GDocP guidelines.
• Receive and verify deliveries against purchase orders.
• Obtain quotations for laboratory work outsourced to third-party service providers.
• Create quotes for consumables and outsourced analyses for clients.
• Communicate with clients regarding outsourced testing and consumable orders.
• Generate purchase orders for in-house or client-related purchases.
• Arrange calibration and maintenance for laboratory instruments.
• Maintain consumable inventory levels, track usage, and monitor expiry dates.
• Manage and update specification and material safety data sheets.
• Assist in registering stability samples and coordinating couriered sample shipments.
• Build and maintain strong relationships with suppliers and service providers.
• Provide front desk and administrative support when required.
• Perform general filing, record-keeping, and document control duties.

Minimum requirements:

Education:

• Relevant tertiary qualification (essential).

Experience:

• Minimum of 6 years’ experience in procurement and administration (preferable).
• Minimum of 6 years’ experience in laboratory support functions (preferable).
• Must have prior experience working in a laboratory and purchasing reagents, reference standards, glassware, and consumables.

Technical Skills:

• Proficient in Microsoft Office Suite (essential).
