POSITION INFO:

Main purpose of the job:

• To manage and oversee the coordination of sample registration on the LDMS system and retrieval of samples according to client-specific requests operating within GCLP practice and maintaining quality assurance

Location:

• Braamfontein – Johannesburg

Key performance areas:

Management of Repository

• Coordinate daily storage of clinical trial samples onto LDMS
• Supervise data input onto the LDMS system and sample labeling
• Allocate the sample position in the freezer on LDMS (for retrieval purposes)
• Plans and manages the activities of staff to ensure they achieve their performance objectives and ensure the most optimal utilization of available resources
• Train and develop staff
• Oversee and implement safe working conditions and procedures in order to ensure compliance with all legislation

Specimen receiving and Shipping management

• Coordinate and monitor retrieval of stored samples on request from sponsors
• Prepare a list of samples to be retrieved for internal use or for shipping and allocate them to LDMS coordinators
• Oversee sample retrieval, preparation, and shipping to other sites for testing (locally or overseas)
• Ensure that boxes packed by LDMS coordinators are packaged into the correct shipping containers and complete the relevant paperwork

Housekeeping

• Oversee daily maintenance of freezers to ensure good working order
• Sign log sheets to ensure that instruments are maintained in proper working order
• Ensure general cleanliness of work areas and neatness around the repository including proper storage of ancillary equipment when not in use

Quality control and updating of standard operating procedures

• Monitor regular Quality Control of stored samples and outstanding LDMS lists
• Resolve all LDMS/LIMS issues and respond to queries from the study sponsor
• Review and implement change to standard operating procedures in order to ensure the repository and shipping support functions are constantly of high quality, cost-effective and safe provision of service
• Assist Cape Town laboratory with repository issues; shipments and LDMS queries ensuring designated samples are shipped to the main repository on time

Budgeting, costing, and project management support

• Develop an annual operating budget for the repository
• Monitor and control expenses against budget in order to control costs and maximize the profitability of the repository
• Interact with project managers, study sponsors, third-party labs, and site co-coordinators to resolve site queries

Staff Management

• Oversee the implementation of the correct application of all WHC and CLS policies and procedures to ensure compliance by all repository staff
• Planning and managing the activities of staff to ensure they achieve their performance objectives and ensure the most optimal utilization of available resources
• Training and developing staff to ensure they have the skills required by the organization and are able to achieve their performance objectives
• Oversee and implement safe working conditions and procedures in order to ensure a safe working environment plus compliance with all legislation

Required minimum education and training:

• National Diploma in Medical Technology or Bio-repository Management or equivalent

Required minimum work experience:

• 5 years of experience

Professional body registration:

• Registered with the Health Professions Council of South Africa as Medical Technician or Scientist (desired)

Desirable additional education, work experience, and personal abilities:

• A clinical trial background/experience will be advantageous with pre-analytical experience
• Must be an LDMS-certified user of the system
• Good Clinical Laboratory Practice (GCLP) and Good Clinical Practice (GCP) courses required
• Must have IATA certification (shipping certification)
• Ability to optimize processes to achieve maximum efficiencies and work under pressure
• Able to provide staff with technical expertise
• Must have PBMC Isolation and ELISPOT setup experience
• The incumbent is required to physically handle specimens and set freezer temperatures which may expose him/her to liquid nitrogen splashes and freezer burn
• The incumbent will be working in a -20 C cold room
• The job requires the incumbent to be on standby 24 hours a day in order to respond to freezer alarms outside normal working hours
• Good communication skills are required as the incumbent will be communicating with subordinates, couriers, project managers, site co-ordinators and management
