As the Maintenance Manager you will be responsible for the management of activities within the department, direct ownership of operations and repairs of buildings, furniture, hotel rooms, and offices, oversee Building and Renovation Projects
POSITION INFO:
Duties:
Planning, organizing, and developing the working plan
Establishing deadlines, and monitoring progress while identifying and resolving issues that may arise.
Creating and implementing maintenance procedures as required.
Ensuring maintenance of all machinery as per its working standards
Ensure machinery/tools inspections, repairs, and scheduled services as required.
Conducting regular inspections of the facilities to detect and resolve problems.
Project Management by liaising with external maintenance contractors on any projects to ensure that they meet the required standard, deadlines, and quality of work required.
Overseeing equipment and tools stock and placing orders for new supplies when necessary.
Supervising and leading all maintenance processes and operations.
Assisting with troubleshooting issues to determine necessary repairs, and update details on the job card per job/area daily.
Review the monthly inspections on all bathroom/kitchen facilities within the property, completing inspection reports and noting any issues to be scheduled for repairs.
Oversee and supervise all plumbing work on the property, conduct monthly inspections, and test facilities for leaks regularly.
Supervise and issue out welding tasks to the team on the job cards.
Assist with operating angle grinders and other tools as per regulations, and instructions using the correct methods and PPE.
Keep recording for team time keeping (clocking in, leave and attendance)
Coordinate and supervise general painting for the entire property.
Create and maintain computer and paper-based filing, organizing systems for records, reports, documents, etc.
Conduct weekly staff meetings to identify areas of improvement, address gaps, discuss solutions, and ensure staff are well informed of all company activities.
Ensure employee uniforms, PPE and grooming habits meet S.O.P standards.
Conduct regular performance appraisals, identifying areas for development and training needs, and ensuring that this training is monitored.
Review staffing levels to ensure the operational needs and financial objectives are met.
Ensure shift handovers are happening at all shift changeovers in accordance with hotel expectations.
Ensure that fair discipline is implemented as and when required.
Understand the OHS Policies and Procedures to take the necessary steps in the event of injuries, theft, burglary, fire and power failures.
Ensure that the code of conduct is always observed and adhered to.
Managing, recording and maintaining all operational equipment service requirements for the Landscaping department, liaising with the Garden Supervisor on weekly basis.
Overseeing all procurement activities for the landscaping, maintenance and properties purchasing department.
Review job card planned activities and requirements for the purchase of equipment, services, and supplies.
Prepare budgets, cost analyses, and reports on a weekly basis.
Control and monitor expenses against approved budgets.
Review, compare, analyse, and approve products and services to be purchased.
Obtain requisition sheets from the maintenance team members for approval and process the order as per the Standard Operating Procedures by Tuesday afternoon weekly.
Liaise with accounts department process approved purchase orders, supplying valid invoices, arranging for payment and confirming delivery with suppliers daily.
Evaluate suppliers’ offers and negotiate profitable deals in an ongoing basis.
Build strong and effective relationships with suppliers, setting up monthly meetings to discuss pricing strategies, scarcity products and resolutions and stay updated on delivery deadline and new product launches of interest.
Forecast supply and demand to prevent overstocking and running out-of-stock (OOS) / tools.
Manage inventories and maintaining accurate purchase and pricing records daily.
Track all orders and address any delays immediately and report details to the relevant staff member, Operations Manager and General Manager.
Handle queries or discrepancies on invoices/deliveries and ensure credit notes from suppliers are received, monitored, and used correctly on the next placement of order.
Handle and resolve any supplier complaints in a friendly, effective, professional, and timely manner.
Submit purchase details (vendor’s information, invoices and pricing) to internal databases
Maintain clear and organised records to ensure all reports and invoices are filed and stored properly
Respond to emergency calls for maintenance and repairs and liaise with Operations Manager and the General Manager.
Update OHS file on Safety records, incident reports, SHE Rep Checklists, First Aid box check sheets and replacements and follow up.
Ensure procurement procedure for all safety related equipment, tools, signage and items, as pre-approved by General Mager and the Safety Manager
Create and maintain a service schedule for all operational equipment / air cons and generators on a weekly basis.
Record all water meter readings including the Staff Village on weekly basis and reporting to the relevant head of department.
Maintain accurate records of stock / supplies being issued out and what is received to ensure effective stock on hand information is available in real time.
Issue out maintenance stock / tools daily in the pre-approved timeslots.
Participate in full stock takes on monthly basis and always ensure Operational Equipment (OE) levels on par level.
Requirements:
Min of grade 12 / equivalent
A diploma in Project Management (advantageous)
Computer literacy (Microsoft Outlook, Word and Excel)
At least 5+ years of proven experience in a similar role.
Valid Driver’s Licence with own reliable transportation
Must have experience in running minor and major Building Projects
Must have proven knowledge of Building and Construction
Must have a good working knowledge of general maintenance.
Must have extended knowledge and understanding of tools and procedures
Must have a solid understanding of technical aspects of plumbing, welding, carpentry, electrical systems, etc.
Knowledge of general facilities machines and equipment.
Must have strong critical thinking and troubleshooting skills.
Must be a good listener and have good communication skills
Must be physically and mentally fit
Must be able to move up and down ladders, scaffolding, and stairs
Must be able to stand for extended periods, squeeze into tight corners and spaces.
Must be a good analytical and strategic thinking skills, with attention to detail.
Must be able to work weekends and public holidays.
