POSITION INFO:

Role Overview

The Market Operations Coordinator supports the efficient execution of marketing activities by managing expenses, tracking assets, and monitoring project progress. This role works closely with Marketing, Finance, and other internal teams to ensure operational accuracy, compliance, and timely delivery of marketing initiatives.

Key Responsibilities

I. Market Expense Management Support

• Assist with budget registration, tracking of expenditure, and initial review of reimbursement requests for marketing campaigns and promotional activities
• Follow up on supplier contracts, payment applications, and invoice collection to ensure timely and compliant processing
• Maintain a Market Expense Ledger, including reconciliation, categorisation, and summary reporting
• Coordinate with Finance on monthly and quarterly expense accruals, allocations, and review meetings

II. Market Asset Management

• Manage the receipt, allocation, transfer, and physical inventory of marketing assets (e.g., display materials, promotional items, samples, booth equipment)
• Maintain a Market Asset Ledger, including asset identification, location, usage status, and assigned responsibility
• Conduct regular asset audits and recommend write-offs, replenishment, or process improvements
• Support initiatives to improve asset utilisation, workflow efficiency, and loss prevention

III. Project Progress Tracking

• Assist in developing timelines for marketing initiatives, including campaign launches and material delivery schedules
• Track and update progress on key project milestones and deliverables
• Organise and participate in project meetings; document minutes, action items, and follow-ups
• Create and maintain dashboards or reports using tools such as Excel, Teams, or similar collaboration platforms

IV. General Support

• Provide administrative and coordination support during marketing campaign execution
• Compile basic operational and performance data to support reporting and analysis
• Assist with ad hoc tasks related to marketing operations as required
