Medical Receptionist

SUMMARY:
A medical practice is seeking an experienced and professional Medical Receptionist to join their team on a permanent basis.
The successful candidate will be responsible for providing exceptional patient service, managing the specialist’s diary and patient administration, and ensuring the smooth day-to-day operation of the practice.

This position is ideally suited to a professional, compassionate and highly organised individual who is comfortable working in a fast-paced medical environment, can manage multiple priorities and remains calm and professional under pressure.

POSITION INFO:
Responsibilities Welcome and assist patients in a friendly, professional and compassionate manner. Register patients and ensure that all required information is accurately captured and maintained on file, including: Patient details and contact information Residential address Medical aid details Referring doctor information Referral letters Reason for consultation Other relevant medical and administrative documentation Open and maintain patient files on Vericlaim medical software. Manage patient enquiries via telephone, email and WhatsApp promptly and professionally. Answer incoming calls, take messages and direct calls to the appropriate person. Manage the specialist's diary and schedule appointments according to instructions. Monitor and manage the patient waiting list and contact patients when appointments become available. Handle patient complaints and concerns with empathy, professionalism and discretion, escalating matters where necessary. Request and coordinate medical records, reports and imaging from external facilities. Liaise with referring doctors and their practices regarding referrals, documentation and patient information. Assist with patient billing, medical aid claims and the allocation of payments to patient accounts, or be willing to learn these processes. Order and maintain office and medical stationery and supplies. Coordinate equipment servicing and facility maintenance requests when required. Maintain strict confidentiality when handling patient information, medical records and sensitive documentation. Communicate effectively and work collaboratively with doctors and other practice staff. Assist with general administrative duties to support the efficient operation of the practice. Ensure a high standard of accuracy and professionalism is maintained at all times. Requirements Grade 12 \/ National Senior Certificate. Fluent in Afrikaans and English - read, write and speak. Previous reception or administrative experience. Strong computer literacy with good working knowledge of: Microsoft Word Microsoft Excel Microsoft Outlook Excellent verbal and written communication skills. Ability to work independently and take initiative. Ability to work effectively under pressure and manage multiple tasks. High level of accuracy and attention to detail.
