POSITION INFO:
The Administrator / Receptionist will be responsible for managing daily operations, coordinating services, scheduling appointments, and maintaining accurate medical and billing records. The role demands someone who is organized, detail-oriented, and confident in communicating with clients, veterinarians, and service providers.

Key Responsibilities

• Manage reception duties, including answering calls, taking messages, and assisting clients
• Coordinate and manage vet appointments, including sending vets on calls
• Handle laboratory samples and ensure proper processing and tracking
• Arrange travel and transport for horses between provinces
• Update and maintain accurate medical histories for all horses
• Dispense over the counter medications under veterinary supervision.
• Cross-check and prepare accurate billing before invoicing
• Monitor and ensure vaccines are up to date
• Liaise directly with veterinarians, clients, and service providers
• Assist with balancing accounts and preparing financial reports
• Learn and operate the in-house DOS-based system efficiently
• Provide exceptional client service and support to the veterinary team

Requirements

• Tertiary qualification (preferred)
• Equine knowledge is Non-Negotiable
• Proficient in Microsoft Excel, Word, and Outlook
• Willingness to learn the in-house DOS-based system
• Computer literate and comfortable managing digital records
• Excellent communication and client service skills
• Ability to work accurately under pressure
