SUMMARY:
Our client is looking for an Office Manager/ Sales Coordinator to manage the central sales office function activities of two sister companies

POSITION INFO:

Job Specification;

Coordinating the activities of the sales team by managing schedules, filing important documents, and communicating relevant information

Ensuring the adequacy of sales-related equipment or material

Responding to complaints from customers and give after-sales support when requested

Management of the central Sales Office activities

Supervise the front office staff to ensure activities and tasks are actioned accurately, completely, and timely

Implement and review all processes to ensure accuracy and efficiency in operations execution

Attending, resolving, and responding to complaints from stakeholders in a timely manner

General office administration, including all correspondence and general filing, forms, upkeep of office equipment, and inventory 

Custodian of related documentation and other secretarial duties

Implement quality assurance of work performed by staff

Resolve complex queries and issues that may arise

Monitor all staff-related matters

Assisting with team control, overseeing teams work schedule
 
Daily programming and communication with the Manager, coordinator, and teams, including the planning of projects to be undertaken

Ensure compliance with all requirements regarding policies, manuals, and procedures

Helping the sales team to improve their productivity by contacting customers to arrange appointments and ensuring all Sales Representatives have high-quality, up-to-date support material

Handling urgent calls, emails, and messages when sales representatives are unavailable
 
Answering customer queries, informing them of delays, arranging delivery dates, and scheduling marketing events
 
Liaising directly with external reps on orders received, delivery dates, stock ordered, potential short stock, and any complaints

Emailing promotional discounts to customers Nationally

Ensuring the orders are processed correctly by the relevant internal sales admin person

Overseeing all credit notes for final approval by Branch Manager

Regular progress updates to sales reps

Reporting on customer buying data to optimize sales and increase market share

Inform external reps of any new potential customers in specific territories

Handling orders by phone, email, and checking the orders have the correct prices, discounts, and product numbers

Inputting orders, ensuring they are processed according to customer requirements, and ensuring all orders are accurate and delivered on time

Collaborating with other departments to ensure sales, marketing, queries, and deliveries are handled efficiently

Developing and maintaining filing systems so as to maintain sales records, prepare reports, and provide financial information to the finance department.

Ensuring staff meets their quotas and goals

Manage and distribute weekly and monthly sales reports
 
 
Minimum Requirements;
 
Matric 

National Diploma in business and or finance

Previous office experience (5) years

Competent computer skills including MS Office or equivalent

Knowledge and experience of relevant software applications - spreadsheets, word processing, and database management
 
Knowledge of administrative and clerical procedures

Knowledge of business principles

Proficient in spelling, punctuation, grammar, and other language skills

Proven experience in producing correspondence and documents

Proven experience in information and communication management

Required typing speed

Knowledge of Accounting Principles

Knowledge of SAP

Experience in Project Management
