Office / Workshop Administrator

SUMMARY:
We are seeking an experienced Office / Workshop Administrator in the Manufacturing Industry, based

POSITION INFO:
Duties:

• Handling inquiries and incoming work requests
• Answering and responding to emails and phone calls, and forwarding communications to appropriate parties as necessary
• Assisting clients face-to-face, and any other form of telecommunication (i.e., telephone, email etc.)
• Attending to all internal/external queries.
• Sending out company-wide emails
• Setting up meetings, as necessary
• Handle all administrative filing
• Handle and organize office filing systems effectively.
• General office management - maintain stationery, office equipment and inventories.
• Sending emails
• Typing up correspondences, if necessary
• Proving backup and administrative support for Mark Howard and Thomas Howard, and drafting of tenders/proposals/quotations, where necessary
• Assisting the Contracts Managers with setting up and printing H&S files
• Managing Petty cash, if necessary
• Financial Administration: Purchases/Creditors
• Performing accurate data entry and filing tasks for accounts payable, purchase orders, equipment inventory.
• Financial Administration: Debtors
• Assisting with onboarding of any new employees and departures – welcoming new hires, assisting with departures, providing the employees with all relevant documentation needed – provided by the HR department.
• Assisting with keeping all wage employment contracts up to date
• Assisting with obtaining all relevant HR and payroll related documentation needed as requested
• Arranging training for staff members when requested to do so
• Organising staff travel allowances and accommodation requirements
• Assisting with gathering information needed for Disciplinary Hearings
• Assisting with wages payroll and onboarding of any new employees and departures
• Assisting with keeping all Company documents up-to-date (FEM, Tax compliance, Public liability etc.)

• Grade 12
• Diploma/ Degree in Business Administration, or a related field
• At least 2-3 years or more relevant experience in dealing with debtors/creditors
• Proficient in the use of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint
• Proficient in the use of Sage Accounting / Pastel 18
• Bilingual – English and Afrikaans (Advantageous)
• Experience with creditors/debtors’ management and control
• Experience with Sage: Accounting
• Experience with Pastel 18
• Experience with Purchasing processes and principles
• Familiarity with office equipment, such as printers, fax machines, copy machines, and phone systems
• Experience with Microsoft Office – Outlook, PowerPoint, Word, Excel (essential)
• Experience in handling and controlling stock (Advantageous)
