JOB SUMMARY:
PA/EXECUTIVE SECRETARY
HOWICK - KZN MIDLANDS
Our Client a busy and precise GM is looking for an Executive Secretary/PA to under his general direction, perform various, complex, sensitive and confidential office administrative
and secretarial support functions for the General Manager and other related duties as assigned.

JOB DESCRIPTION:

KEY FUNCTIONS:
Provides secretarial and administrative support to the General Manager.
1. Coordinates work with executives and support staff to ensure a high performance, customer service-oriented work environment.
2. Acts as liaison in coordinating matters between the General Manager’s Office and other department heads and managers.
3. Prepares and drafts memoranda, correspondence, and other documents and reports often of a highly sensitive and confidential nature.
4. Ensures materials and reports for signature and accurate and complete; proofreads and checks typed and other materials for accuracy, completeness and compliance within Company standards, policies and procedures.
5. Schedules, prepares agenda and meeting materials and types minutes for various meetings.
6. Maintains the General Manager’s calendars; coordinates, arranges and confirms meetings.
7. Receives telephone calls, providing information and handling issues that may require sensitivity and use of sound, independent judgment.
8. Responds to requests for information and complaints, refers matters to appropriate Department staff and/or takes or recommends action to resolve the request or complaint.
9. Reviews, determines the priority and routes incoming correspondence, reports, requests and instruction; handles or refers matters as directed.
10. Researches and assembles information from a variety of sources for the preparation of reports and correspondence for the General Manager.
11. Required to work extended hours and weekends as deemed necessary by the work demand,
12. Performs other reasonable duties as assigned which would include but not limited to:
Events Planning, Ordering of stationery and refreshments, Bookings of flights and accommodation, Telephone
call screening, Processing expense claims etc.
13. Ability to work in a highly pressurized environment and withstand relevant pressures

SKILLS/KNOWLEDGE:
Use of Office 365 Packages, with fluency in MS, Excel, MS, Power point and other standard office software.
-Take dictation and type accurately at relative high rate number of words per minute.
Knowledge of:
-Office administrative and management practices and procedures.
-Principles and practices of sound business communication.
-Fluent in English, including spelling, grammar and punctuation.
-Standard word processing, spreadsheet, graphics and other software packages.
-Record keeping, filing and purchasing practices and procedures advantageous.
Foundation principles and practices of effective supervision though not compulsory.
QUALIFICATIONS:
-Matric
-Secretarial Diploma or equivalent would be advantageous.
AT least 2-3 years in a similar role
