An established business within the long-distance transport and logistics sector is seeking a reliable, accurate and highly organised POD Administrator to join its team on a temporary-to-permanent basis.

This position is ideal for an experienced administrator who understands the importance of accurate Proof of Delivery (POD) documentation, enjoys working in a busy transport environment and is confident following up with drivers, customers and internal teams.

The successful candidate will be responsible for receiving, checking, capturing, tracking and filing POD documentation, ensuring that all delivery records are complete and readily available for invoicing and operational purposes.

POSITION INFO:
Key Responsibilities Receive, check, capture and process Proof of Delivery (POD) documentation. Capture signed delivery notes, waybills, trip sheets and other transport-related documentation. Match PODs to the correct deliveries, invoices, trips and customer records. Monitor outstanding PODs and follow up until all required documentation has been received. Follow up with drivers regarding missing, incomplete or incorrect POD documentation. Investigate missing signatures, documentation discrepancies and delivery queries. Liaise with drivers, customers and internal departments regarding POD-related matters. Ensure accurate data capturing and record keeping. Maintain organised and accessible physical and electronic filing systems. Ensure POD documentation is properly filed and easily retrievable. Assist in resolving delivery and documentation queries. Provide general administrative support to the transport and logistics team as required. Minimum Requirements Previous experience in POD administration, transport administration, logistics administration or a closely related role. Previous exposure to the transport or logistics industry is strongly preferred. Experience within long-distance transport will be advantageous. Strong administrative and organisational ability. Excellent attention to detail and accuracy. Good computer literacy and data-capturing skills. Comfortable working with high volumes of documentation. Good written and verbal communication skills in English. Ability to speak and read Afrikaans would be advantageous. Confident when following up with drivers and customers regarding outstanding documentation. Reliable, responsible and consistent work ethic. Mature and professional approach. Sober habits. Must be available to start immediately. Must have reliable own transport OR reside very close to Rivergate\/Parklands. You should understand that complete and accurate POD documentation is critical within a transport operation and be comfortable working in a fast-paced, deadline-driven logistics environment . You will need to be persistent when following up on outstanding documentation, systematic in your filing and record keeping, and able to maintain accuracy while handling a high volume of paperwork.
