POSITION INFO:
Our client is an established financial services provider specializing in comprehensive insurance and wealth solutions, committed to delivering high-standard client care across South Africa. This permanent role combines administrative office management with dedicated personal assistant and operational support for a Financial Advisor. You will handle front-desk operations, manage client records, facilitate new business processes, and liaise directly with major product providers. Key Responsibilities Provide full secretarial and administrative support to the Financial Advisor, including managing their daily diary and arranging appointments for existing clients. Attend to client enquiries, handle professional correspondence, and deal with various insurance companies (such as Allan Gray, Sanlam, Hollard, Liberty, etc.). Request quotations from different insurers, facilitate underwriting requirements, and conduct continuous follow-ups to ensure new business applications are issued quickly. Maintain accurate client policy records, update client schedules on Excel, and uphold confidential filing systems in line with POPI, FICA, and FAIS standards. Deal with different departments within the office for various requests, perform general front desk\/switchboard duties, update query registers, assist with claims documentation, and compile weekly administrative reports. Requirements Matric (Non-negotiable) Proven office administration or secretarial experience, preferably supporting a Financial Advisor or Insurance Broker. Working knowledge of relevant financial legislation, including POPI, FICA, and FAIS guidelines. Strong computer literacy, particularly advanced proficiency in Microsoft Excel, electronic record keeping, and document management systems. Experience requesting quotes, tracking underwriting, and liaising with major South African insurers. Sound familiarity with general office procedures, claims assistance, and switchboard operations. Attributes Exceptional multi-tasking capabilities with a flexible attitude toward ad hoc duties. Strong organizational skills with meticulous attention to detail and accuracy. Excellent verbal and written communication skills with a professional customer-service mindset. High level of discretion and integrity when handling confidential client data.
