SUMMARY:
A well-established and growing organisation is seeking a proactive and detail-oriented Procurement & Office Assistant to support both purchasing activities and daily office operations.
This is an ideal opportunity for a highly organised individual who enjoys balancing procurement coordination with administrative responsibilities in a structured, fast-paced environment.

POSITION INFO:
You will play a key role in ensuring the smooth running of the office while supporting the procurement function through supplier coordination, order processing, and stock management.

Key Responsibilities

Procurement

Source suppliers and obtain quotations
Compare pricing, quality, and delivery timelines
Prepare and process purchase orders
Track and follow up on orders to ensure timely delivery
Maintain accurate supplier records and procurement documentation
Monitor stock levels and manage reordering of supplies
Support basic supplier negotiations and cost management

Office Administration

Perform general administrative duties (filing, data capturing, document control)
Manage office supplies and inventory
Coordinate meetings, appointments, and schedules
Handle incoming calls, emails, and correspondence
Assist with basic bookkeeping and expense tracking
Support HR administration, including employee records and contracts
Assist with monthly staff timesheets

Requirements

Diploma or certificate in Business Administration, Procurement, or related field (advantageous)
1–3 years’ experience in procurement and/or office administration
Basic understanding of procurement processes and supplier coordination
Proficiency in Microsoft Office (Excel, Word, Outlook)
Strong organisational and multitasking ability
Good communication and negotiation skills
High attention to detail and problem-solving mindset
