SUMMARY:
Our client in Durban is looking for a dedicated professional to perform a wide range of administrative and office support activities for the department and/or managers to facilitate the efficient operation of the organization.

POSITION INFO:

Responsibilities

  • General office duties including filing, photocopying, answering phone calls, faxing, mailing, etc.
  • Prepare and provide documentation to the project team.
  • Monitor project progress and address potential issues.
  • Track daily clocking for the team.
  • Coordinate quality controls to ensure deliverables meet requirements
  • Monitor project progress and address potential issues
  • Liaise with the project team obtain all necessary information, documentation & drawings which will form part of the data books.
  • Compilation of data books for various projects.
  • Ensure project documents are properly controlled, stored and are easily retrievable.
  • Ensure administrative functions are completed in accordance with established standards, policies, and procedures.
  • Scheduling meetings and recording minutes
  • Update SHEQ Manuals as required by the SHERQ Manager.
  • Carry out updates on SHEQ documentation as required by the SHERQ Manager.
  • Duties may change from time to time at the employer’s discretion.

Minimum Requirements

  • Minimum of 5 years’ experience in similar role.
  • Advanced computer literacy: Microsoft Office Suite, MS SharePoint, and Adobe Acrobat Professional.
  • Must have knowledge of ISO 9001: 2015 Quality management system.
  • Ability to read and understand construction plans & specifications.
  • Strong team player.
  • Knowledge and understanding of administrative procedures and business practices.
  • High levels of initiative, professionalism and a strong attention to detail and accuracy.
  • Sound judgment, high level of emotional maturity, discretion, and confidentiality.
  • Attention to details

Qualifications

  • Grade 12 (Matric), Project Administrator, Project Coordinator or similar role
  • Hands-on experience with flowcharts, technical documentation and schedules
  • Knowledge of project management software (e.g. Microsoft Project)
  • Solid organization and time-management skills
  • Team spirit
  • Qualification in Business Administration or related field, a degree or diploma is advantageous.
  • PMP / PRINCE2 certification (advantageous)
