JOB DESCRIPTION:

Short Summary:

The main responsibility of this position is to provide administrative support to the Compliance Manager.

Responsibilities:
  • Legal Requirements
    • Review and update Food, Safety and Quality Acts, Standards, and Regulations.
    • Review and update registrations, certification and legal compliance.
    • Assisting with External Audit compliance and regulatory aspects.
  • Training and Development
    • Assist with compiling training and awareness material:
      • Food, Safety and Hygiene
      • Personal Hygiene
      • Standard Operating Procedures
    • Assist with training and internal refresher training of Food Handlers.
    • Assist with the verification of training effectiveness.
  • General Documentation
    • Continuously updating Food, Safety and Quality documentation.
    • Compiling of checklists, registers, work instructions, and other documentation.
    • Filing and controlling documents within Quality Assurance.
    • Ensure compiled and completed minutes from the Food Safety Meetings.
    • Ensure minutes from the Food Safety Meetings are communicated and actioned.
    • Assist with client and customer documentation.
  • Internal Audits
    • Assist with gathering of information for internal audits.
    • Compiling of the audit report for internal audits.
    • Summarise findings for internal audits.
    • Completion of audit reports for internal audits.
    • Follow up on corrective actions for internal audits.
    • Identify areas for improvement that enables improvement.
  • Pest Control
    • Managing the Internal Pest Control Officer.
    • Managing pest control of all SOILL sites.
    • Liaise with External Pest Control Service Provider.
    • Effective and timeous communication of Pest Control Findings.
  • Q-Pulse System
    • Act as the System Administrator.
    • Managing Q-Pulse Reports effectively.
    • Uploading documents and following up on outstanding actions.
  • Corrective Actions
    • Assist with recording, updating and communication.
    • Effective handling of the Corrective Actions process.
    • Assist with implementing and verification of Corrective Actions.
    • Follow up on Customer Complaints, Rejections, and Internal and External Audits.
  • Food Safety and Hygiene Culture
    • Determine the current status of the Food Safety Culture in the company.
    • Ensure activities and plans according to timelines and deadlines.
    • Establish an effective Food Safety Culture by fulfilling requirements.
    • Effectively monitor and maintain an ongoing Food Safety Culture.
  • Supplier and External Service Providers
    • Updating Raw Material Supplier information, documents and specifications.
    • Handling, reporting and investigating supplier non-conformances.
    • Ensure VACCP is implemented and monitored.
    • Manage Supplier SQA is effectively implemented.
    • Verification of COA/ COC of Supplier upon receiving.
  • Office Assistants (Cleaners) and Quality Development
    • Ensure supervision of Office Assistants.
    • Ensure cleaning stock is sufficient against the budget.
    • Ensure monitoring and verification of Office Assistant activities and duties.
    • Ensure monitoring and verification of development activities and duties.
    • Ensure documentation is compiled and completed for tasks and duties.
    • Internal customer service and assisting various departments.
  • Trending and Data Analysis
    • Compiling of data and information for continuous improvement.
    • Compiling of data and trending for customer quality analysis.
    • Data Management for internal processes and internal interested parties.
  • General Administration
    • Assist the Compliance Manager with all aspects of the company’s Food Safety and Quality Systems.
    • Assist with any lawful orders and instructions which may be given by the Compliance Manager.
    • Assist with any aspects regarding Quality Control given by Management.
Key Competencies:

Education and Experience

  • Tertiary qualification in Quality Management or Food Sciences
  • A Diploma in Auditing would be an advantage
  • 2 to 3 Years of experience in the Food Industry
  • Highly proficient in English and Afrikaans
