Rental Controller

SUMMARY:

POSITION INFO:

• Take incoming rental calls
• Spec application and allocate relevant unit
• Issue short term rental quotes, to be checked and approved by the Rental Manager
• Liaise with debtors department for new accounts, all new accounts to be opened within 48 hours, and any delays to be reported to the Rental Manager
• Liaise with workshop if units are not available & liaise with Rental Manager if units are not going to be ready in time for the required rental date
• If it seems that no unit is available don’t decline rental – escalate to Rental Manager who will escalate to the MD for solution – only once this answer comes back as no may we decline.
• Open hire agreements on Business Central and ship and ensure that they are signed and sent to the JHB rental team to commence billing along with the photos. See Forklift movement checklist for details to complete
• Take and save pre and post rental photos on the system, and ensure photos are given to the client to be signed
• Arrange transport
• Check all rentals prior to being loaded onto truck for delivery that the spec is correct, this includes checking fork spec, attachments, correct number of batteries, charger etc.
• Report all discrepancies to the Rental Manager before the truck leave to go to site
• Check that load test is up to date and that the load test sticker is on the mast. If due within the following month, notify Rental Manager
• All rentals going to outer-laying areas where we do not have people to carry out load tests, should be done in the workshop before the trucks leave to ensure we have a year before we ned to load test again
• When units are returned to the yard, check that the paperwork is completed properly, check that everything that was delivered is also returned.
• Report all discrepancies to the Rental Manager
• Off rent the hire agreement on BC and ensure it is sent to the JHB rental team to close off the rental contract. See Forklift movement checklist for details to complete
• Submit photos for off-rent damages quote to be issued, and liaise with Rental Manager to issue quote for damages.
• Obtain hour meter readings and order numbers from clients for rental invoices or off rent damages
