Essential functions:

The Senior Office Manager will provide all comprehensive administrative assistance and coordinate office procedures to ensure high levels of organizational effectiveness, communication, and safety.

This role will also be responsible for offering support to various projects as well as the Business Unit Executive.

  • Manage contracts with Service Providers by conducting an audit to ensure that all contracts are up to date. 
  • Provide administrative support to the Internal and external Compliance Officer inclusive of general business record keeping to ensure compliance, (FAIS, FICA, Reps, updated documents etc). 
  • Preparation and editing of Company and consulting templates including standardised SLAâ??s, letterheads, client communication, presentations, proposals and tenders. 
  • Liaison with (but not limited to) external compliance officers, regulating authorities and service providers 
  • Monitoring and updating of marketing information to ensuring that website and social media information is up to date.
  • Provide admin support (business reports, tenders, presentations) to new business development department and manager and assisting with the scheduling of new business meetings with potential clients as and when required. 
  • Provide administrative and co-ordination support to business departments (HR, Finance, Procurement, etc.). 
  • Provide communication across the business unit and with stakeholders 
  • Maintain business unit shared drives. 
  • Identify tenders on relevant platforms by performing regular searches.
  • Maintenance of Outlook calendars and scheduling of meetings for Business Unit Executive. 
  • Assist in preparation of meeting agenda/ board packs and drafting of minutes as and when required. 
  • Coordinate meetings / events as well as travel itinerates as and when required. 
  • Composing and preparing confidential correspondence. 
  • Attend to all adhoc requests / special projects
Skills and Experience:

Essential Qualification:

  • Matric
  • Diploma in Administration or equivalent

Preferred Qualifications:

  • Bachelorâ??s Degree in Administration or equivalent
  • Industry related experience within the Financial Services environment

Knowledge and good understanding of including but not limited to:

  • RE, FAIS, FSP regulations and requirements
  • 5 to 8 yearsâ?? overall experience in an Office Management
