JOB SUMMARY:
The University of Fort Hare seeks to appoint suitable qualified and experienced candidates for the above-mentioned permanent position in the Research and Innovation Office, Govan Mbeki Research and Development Centre (GMRDC). The main purpose of the position is to manage the whole process of online capturing of research outputs, calculating units for journal articles, book chapters, books and conference proceedings published by all University of Fort Hare (UFH) academic staff, non-academic staff, postdoctoral fellows and students. The position will manage the process of auditing captured research outputs and the corresponding units calculated as per the Department of Higher Education and Training (DHET) policy on Higher Education research outputs subsidy.

JOB DESCRIPTION:

Minimum Requirements:
  • Masters Degree;
  • At least 6 years relevant work experience
  • At least 3 years of experience in handling University research outputs using Research Information Management System (RIMS).

Duties and Responsibilities Include:
  • Managing process of online capturing of research outputs and calculating research output units for UFH
    • Manage annual capturing of research outputs on the online system for all Faculties, Research Institutes, Research Centres, Research Chairs, Research Niche Areas and other UFH structures.
    • Verify details of researchers captured on the online system (names, staff numbers, Faculty/Department, etc.).
    • Review and verify captured outputs and provide feedback to authors through the online system.
    • Calculate units for UFH authors of publications in accordance with the DHET policy on research outputs.
    • Verify mathematical accuracy of calculations done by administrators.
    • Conduct training on the online capturing system for administrators and researchers, as refresher training or as part of onboarding of new staff and researchers.
    • Compile pertinent research outputs data and do analytics.
    • Design and implement appropriate interventions based on data and analytics in order to address needs prevailing on the ground.
    • Compile information and calculate statistics required for reporting purposes.
  • Managing the process of auditing of captured research outputs by external auditors and submission to the DHET
    • Compile statistics and documents for external auditors
    • Prepare research output report for external auditors
    • Compile portfolio of evidence for captured research outputs
    • Compile information for motivation letter for late submissions for the Line Manager
  • Calculating Rand values of DHET-approved units for researchers and managing disbursement of incentive funds to research cost centres of awardees
    • Calculate the Rand value of DHET-approved units for each and every researcher awarded subsidy.
    • Prepare spreadsheet of research subsidy amounts to be loaded into research cost centres and submit to Budget Office, Finance Department.
    • Inform all researchers awarded research subsidy of their amounts deposited into their respective research cost centres.
    • Do data analytics and compile information for reporting purposes.
  • Managing capturing of and subsidy for postgraduate students supervised to graduation
    • Verify lists of Masters and PhD students after every graduation.
    • Check lists of graduated students disaggregated by Faculty.
    • Submit lists of graduated students to Deputy Deans of their respective Faculties for second layer of validation.
    • Check calculations of incentives for supervisors or co-supervisors employed by UFH computed by administrators.
    • Oversee the process of payment of incentives for external supervisors or co-supervisors to their bank accounts through the UFH HR system
  • Managing payments of article processing charges (page fees)
    • Check requisitions for payment of article processing charges (APCs)
    • Monitor payment of 50% of APC from researcher’s research cost centre and 50% from UFH’ budget for APCs.
    • Process payment of full APC for students or newly employed researchers who joined UFH not more than 2 years ago.
    • Do analytics including return on investment: expenditure on APCs versus income generated from the resultant publications.
