POSITION INFO:
The purpose of this position is to ensure the accurate and timely execution of general administrative duties for the branch. The role also includes performing the short-term rental controller function and supporting the rental manager in applying best management practices. This involves meeting key performance indicators and service delivery objectives, adhering to established procedures, and promoting a customer-focused service approach. Additionally, the role contributes to implementing and upholding initiatives aligned with the company’s strategic vision.

To perform this role effectively, the successful candidate must be able to carry out each key responsibility to a satisfactory standard. The key performance areas listed below are not exhaustive and may be adjusted as business needs evolve. In addition to the listed duties, the individual may be required to assist the supervisor or manager with other tasks as needed.
Key Responsibilities:
- Help ensure the short-term rental (STR) division meets its targets and budget goals.
- Take full responsibility for delivering excellent customer service, maintaining good communication, building strong client relationships, and tailoring solutions to customer needs.
- Conduct telesales and maintain accurate records of quotes and prospects.
- Submit weekly and monthly reports on stock counts and fleet utilisation.
- Prepare and process refinance and defleet documentation.
- Manage the short-term rental fleet, including reservations, planning deliveries and collections, and handling all related transport invoicing.
- Ensure all delivery documentation is complete, accurate, and authorised (e.g., credit applications, signed contracts, terms and conditions, and customer orders).
- Process invoicing for daily, weekly, and monthly rentals, including excess hour charges.
- Liaise with the debtors’ team regarding accounts for both new and existing customers.
- Ensure that all machines at customer sites have valid load test certificates.
- Coordinate with the workshop to prepare machines for delivery (load tests, servicing, attachments, chargers, etc.).
- Handle customer complaints and queries, ensuring timely follow-up and clear communication of outcomes.
- Provide general support to the manager as required.
Must have requirements:
- Matric (Grade 12)
- At least 3 years of relevant work experience
- Strong skills in MS Outlook, Word, and Excel
- Experience using the Kerridge system—must be able to enter data and pull report
Knowledge Needed:
- Good understanding of customer service, including identifying customer needs, delivering quality service, and checking customer satisfaction
- Basic knowledge of quality control, cost management, and how to store and deliver equipment or parts efficiently
- Strong English skills for business communication, including grammar, spelling, and written.
