JOB SUMMARY:
Temp Secretary needed for client in Stikland CapeTown, from 18 July to end of December 2022,
Essential: Grade 12
Desirable: Secretarial Diploma / Recognition of prior learning in related field

JOB DESCRIPTION:

Essential:

MS Word (advanced)
MS Excel
Proficient in both spoken and written English and at least one other of the official South African languages
Solid administration and compilation skills Desirable
Duties include:
- Management of day-to-day activities for the National Operations Manager & Divisional Managers
- writing minutes for various meetings at a divisional level from Monday-Thursday
- Arrange meetings and take minutes
- Arrange and make travel and car hire arrangements for regionals and line managers (flights, accommodation, etc). which includes getting the necessary Travel Orders signed off/approved.
- Getting accommodation invoices and claims approved and processed for payment
- Ordering of new vehicles
- Keeping track of company pool cars
- Ordering office supplies, IT equipment and stationery
- Arranging building maintenance when required
- Update & keep track of week-end duty roster and birthday list
- Answer calls - Assist with customer queries/complaints and take messages for the department
- Filing of documents
- Collation of documents (Viabilities & Resolutions) for submission to other Directors
- Update and maintain staff and stores contact details on the global contact list
- Coordinate office activities & special events
- Scheduling appointments and boardroom bookings
