JOB SUMMARY:
Temp: Supplier Relations Officer

JOB DESCRIPTION:

Purpose

Responsible for supplier database maintenance, which includes additions, amendments, updates etc. Assist in the carrying out of the activities of the Supplier Development Programme, including the Tender Advice Centre and dissemination of information relating to procurement activities.

Key Responsibilities

Arrange meetings with external stakeholders.
Arrange workshops and training for suppliers. Provide general administrative duties, including preparation of requisitions for goods and services, photocopying, faxing, housekeeping.
Ascertain that the Tender Advice Centre is sourced with all the relevant information such as SARS registration forms, CIPRO registration forms, funding requirements/forms, etc.
Provide relevant assistance to suppliers on the completion of tender documents, without compromising confidentiality and other related SDP issues.
Facilitate the communication of SDP events (i.e training, workshops, debriefing sessions) to the relevant suppliers.
Maintain positive customer relations and satisfaction.
Ensure that customer enquiries are timeously attended to.
Maintain a record of customer related queries. Maintain a register of all supplier application forms received on a daily basis.
Carry out timeous registration of contractors, suppliers and service providers. Maintain a log of the processing stages of the application up to completion stage.
Check application forms for validity, accuracy and completeness.
Liaise with suppliers, in writing regarding outstanding information as per the application form and outcome of the applications.
Ascertain that the supplier database is updated on a regular basis with new evaluations performed. Maintain a proper file management system.

Essential qualifications and experience:

Grade 12 (NQF 4)
1-year administration experience in Supply Chain Management vendor / supplier environment.
Computer literacy
SAP experience
Track record of dealing with suppliers and record keeping.
