SUMMARY:
Job Title: Tender Administrator
Location: Centurion
Remuneration: R10 000 - R18 000 per month

POSITION INFO:
PRIMARY TASKS:
The Tender Administrator will be tasked to assist the Tender Manager in co-ordination, compilation and tracking of tender submissions and to ensure the bids are completed accurately, correctly and delivered on time. Further to ensure that the biding process is actively captured and recorded on the tender database.

RESPONSIBILITIES:
Tender Administration
Daily Database checking, sourcing tenders, filing tender documents on server.
Preparing professional tender correspondence and enquiries
Analysing tender information and providing a summary of tender specifications.
Accessing and compiling mandatory document required.
Updating weekly/daily status report (incoming, outstanding, active, not tendering)
Updating and accurately managing and tracking calendar, closing date, briefings, viewings
Successful and accurate sourcing and filing of tender documents.
Attending Tender briefings and accurately recording and documenting the proceedings.
Preparing required tender document templates (tender letter, functionality)
Assist with editing and preparing professional and aesthetically pleasing reports (look & feel, formatting and imagery)
Accurately prepare tender pack in accordance with stipulated requirements
Assist with the compilation of the completed tender document.
Tender delivery and successfully documenting the outcome of the opening.
Monitoring and following up on submitted tenders for extensions of validity expiries and follow ups.
Filing weekly tender correspondence
Preparation of legal files when required (ordering and compiling communication in date order)
Take minutes, notes and recordings at tender viewings.
Manage the central tender data base to ensure that accurate and updated information is available.
Perform ad-hoc duties as assigned from time to time.
Work overtime from time to time as required.

Customer Relationship Management
Liaise with User Departments on Tender queries and ensure resolution of the queries
Maintain good relationships with User Departments / Clients
