SUMMARY:
Reputable Engineering company in Gauteng is looking for a Tender Facilitator with Reception and Admin Assistant duties to join their team.
POSITION INFO:
Duties and responsibilities
- Primary: Tender Facilitator
- Daily checking of various tender bulletins for new applicable tender adverts.
- Tracking of new Opportunities, Tenders and submittals.
- Arrange and coordination for attendance of tender briefing meetings.
- Co-ordination with third parties partaking and collaborating in tender submittals.
- Complete tender forms and compile required documentation.
- Assisting with compiling and editing methodologies and value propositions.
- Compile and co-ordinate compilation of final tender packs for submittal.
- Arrange and coordination of Tender submittals.
- Secondary: Receptionist.
- Answering and forwarding phone calls.
- Meeting and greeting clients.
- Take and relay messages.
- Deal with queries from the public and clients.
- Ensure knowledge of staff movements in and out of the office by managing the notice board.
- Monitor visitor access and maintain security awareness.
- Organize boardroom bookings and manager’s calendar.
- Keeping the reception area tidy.
- Tertiary: Administrative support.
- General administrative support to office administrator
- Manage company fleet vehicles.
- Manage and Order stationary.
- Manage and Buy office groceries.
- Writing and taking of Minutes of meetings.
From time to time as per request from Management the Employee can be expected to undertake certain tasks not specifically mentioned above.
Qualifications and minimum requirements:
- Grade 12 (Matric).
- Basic understanding of mathematics and languages.
- Administrative/Sales certificate or diploma.
- Windows suite of programs such as Word, Excel, Power Point and Paint as well as PDF packages.
- Knowledge of the Engineering Consulting Industry (Civil and Structural Projects will be beneficial).
- Good understanding of the Tendering Processes.
- Ability to interpret Tender documents and summarise them.
- Ability to Co-ordinate and multi task.
- Be proficient in typing, editing and managing documents.
Experience:
- Minimum 3+ years dealing with compiling engineering consulting services tenders related but not limited to retail, commercial and residential structures, municipal, infrastructure, mining services and Project Management.
- A thorough understanding of the Engineering Consulting Tender process. (Knowledge of the Government tender process and requirements will be advantages)
- Completion and Preparation of Tender documents
