Villa Manager

SUMMARY:
We require a detail oriented individual with a great sense of care for people, animals and property, respect for others and a passion for getting things right, in the right way to manage a Villa in Stellenbosch.

POSITION INFO:
Purpose of the role:
The Villa Manager is responsible for the daily operations and ensuring guests have a wonderful stay. This includes overseeing housekeeping and staff, providing high-quality, tailored meals, and handling guest interactions. Your duties range from welcoming guests and administrative tasks to budgeting, meal planning, kitchen management (including food safety), and coordinating with other estate staff for a seamless guest experience. This is a live-in position.

Requirements:
Solid experience in a similar position where you had to deal with high net worth clients

Duties and Responsibilities:

Meals/ kitchen
Plan, prepare, and cook meals for guests, owners, and staff, accommodating dietary preferences and requirements.
Develop customised menus for various occasions
Maintain an active list of private chefs for the development and execution of menus
Order fresh ingredients and ensure no shortages

Events
Assist in planning and executing menus for special events.
Maintain an up-to-date supplier/ vendor list to assist in all events held at the villa
Ensure events run smooth and according to budget

Administration
Effective communication with HR, staff, and General Manager to ensure the site are well managed. Keep accurate record of wine sales, expenditures and staff hours.
Develop guest stay itineraries according to guest stay requirements
Keep track of occupancy
Act as brand ambassador to promote wines

Budgeting & ForecastingPreparing and analysing budget submissions and monitoring the expenses according to annual budgets as well as income received per guest stay.
Track all expenses according to the budget
Recon expenditure monthly

Overall Guest ExperienceEnsure a pleasant experience for guest and assist where needed.
Ensure sufficient staff on duty for weekends and public holidays
Running errands and purchase goods when the driver is not available
Ensure the pools are maintained by maintenance
Ensure aircons work
Act as host when requested
Ensure alam is activated when guests leave

Staff Management
Supervise and manage all Villa employees, including but not limited to Housekeepers, Groundskeepers and Security Guards.

Legislative ComplianceEnsure the villa complies with health, safety, and sanitation regulations.
Ensure that the fire extinguishers are serviced annually.
